We are seeking a motivated Operations & Executive Support Manager to join our team in a part-time capacity, with the genuine opportunity to transition to a full-time position based on performance and business needs. This role is ideal for a dedicated individual looking to grow their career with our foundation long-term.

Our small but mighty Brooklyn community center is seeking an Operations & Executive Support Manager to work closely with our CEO and Marketing & Events Manager in running the heart of our organization.

We’re a close-knit team of three full-time staff that values initiative, collaboration, and community connection. This fully in-person position is ideal for someone who is organized, proactive, and passionate about supporting mission-driven work.

Some days will be long and unpredictable, and challenges will arise — but we tackle them together with commitment and humor. The right person for this role is energized by making things happen and being part of a mission that truly matters.

What You’ll Do

  • Develop and maintain organized administrative and operational systems that keep the office, calendar, finances, and data running smoothly.
  • Executive Support: Manage calendars, scheduling, communications, and logistics for the CEO and Marketing & Events Manager.
  • Office Operations: Oversee day-to-day office functions — open and close the community center, maintain supplies, equipment, and tech systems, and ensure a welcoming, efficient workspace.
  • Finance & Administration: Process invoices, track expenses, assist with budgets and reports, and coordinate with our controller and accountant.
  • Database Management: Maintain accurate donor and constituent records in Raiser’s Edge , ensuring data integrity and confidentiality.
  • Event & Program Support: Assist with planning and executing community programs, events, and fundraisers.
  • Community Engagement: Greet visitors, answer inquiries, and represent the organization with warmth and professionalism. Must be willing to travel around NYC at times for health fairs and other community events.
  • Special Projects: Jump in wherever needed — in a small nonprofit, every day brings new opportunities to contribute and lead.

Who You Are

  • A seasoned administrative and operations professional with 5+ years of nonprofit experience , ideally in a community-based setting.
  • Proficient in Raiser’s Edge , with comfort managing donor data, reports, and financial documentation.
  • Exceptionally organized, reliable, and resourceful , with strong problem-solving and communication skills.
  • A team player who thrives in a collaborative, mission-driven environment.
  • Tech-savvy , fluent in Google Workspace, Quickbooks, Microsoft and standard office systems.
  • Comfortable being fully in-person and taking responsibility for opening and closing our community center each day.
  • A natural planner and problem-solver who anticipates needs before they arise.
  • Brings structure, clarity, and follow-through to every task and project.
  • Exceptionally organized and detail-oriented , with a proven ability to manage multiple moving parts and deadlines with accuracy.
  • Comfortable creating and maintaining efficient systems for communication, scheduling, and data management.

Compensation: $31-$34 an hour (commensurate with experience). Please note we have a three month probation period. Schedule: Part-time, in-person (Brooklyn, NY). Start Date: As soon as possible.
