Overview
We are seeking an Accounts Payable Specialist that will be responsible for processing all vendor invoices as well as weekly check run and distribution.

Also handles researching and resolving accounts payable discrepancies with vendors and other miscellaneous monthly tasks.

Duties / Essential Functions:

• Process weekly check run, attach invoices and distribute for appropriate signatures.
• Prepare Positive Pay file and up-load to bank.
• Ensure club policy is followed for invoice approval procedures.
• File check vouchers and invoices after processing.
• Verify invoice extensions, footings and the sales tax that is charged, if required.
• Distribute invoices to department heads for approval.
• Post invoices in accounting module following internal controls to assure that only valid, approved and accurate vendor invoices are recorded and paid.
• Copy all fixed asset invoices for the permanent file.
• Maintain vendor files and good vendor relationships.
• Reconcile and close the accounts payable system for the month.
• Review vendor statements with processed invoices, resolve discrepancies.
• Process 1099’s at year end, obtain W-9’s from new vendors and assist with credit applications.
• Ensure proper insurance certificates are kept on file for all relevant vendors.
• Adhere to all federal, state and local laws.
• Act as back-up to accounts receivable position.
• Assist with year-end audit as directed by the Controller.

· Other duties as assigned.

Job Requirements

• Knowledge of Northstar, or other club software required.
• Proficient in Microsoft Office, especially Outlook email and Excel.
• Strong organizational skills.
• Excellent communication skills, ability to work as a team.

Preferred: _

• Minimum of 2 years prior experience in a private club environment, accounting, or hospitality.
• Background in hospitality accounting.
• Associate’s or bachelor’s degree in accounting or finance.
• Proficient in club specific or related software.

This position is 32 hours per week, working 6.5 hours per day.
