We are looking for a highly organized and proactive Executive Assistant to support leadership in a dynamic legal environment. This is a long-term contract position based in New York, New York. The ideal candidate will excel in managing schedules, coordinating travel, and ensuring seamless executive operations.
Responsibilities:• Maintain and manage executives' calendars, ensuring appointments and meetings are scheduled efficiently.
• Coordinate and book travel arrangements, including flights, accommodations, and transportation.
• Oversee complex travel itineraries, ensuring all details are accurate and align with the executives' needs.
• Prepare and organize materials for executive meetings, ensuring all documentation is readily available.
• Act as a key point of contact, facilitating communication between executives and other stakeholders.
• Handle confidential information with discretion while maintaining professionalism.
• Assist with day-to-day administrative tasks to support executive-level operations.
• Monitor deadlines and follow up on action items to ensure tasks are completed promptly.
• Provide solutions to scheduling conflicts and last-minute changes by adapting quickly to dynamic situations.• Proven experience as an Executive Assistant or in a similar role supporting senior leadership.
• Strong proficiency in managing calendars and scheduling meetings.
• Demonstrated ability to coordinate and arrange complex travel itineraries.
• Excellent organizational skills and attention to detail.
• Strong interpersonal and communication skills to interact effectively with stakeholders.
• Ability to handle sensitive information with discretion and maintain confidentiality.
• Proficiency in relevant software tools, such as Microsoft Office Suite.
• Flexibility to adapt to changing priorities and work in a fast-paced environment.
