As we continue to grow, we are seeking a dynamic and highly organized Executive Assistant/Sales Assistant to provide administrative and operational support to our team.
Position Overview:
We are looking for a proactive, detail-oriented, and professional Executive Assistant/Sales Assistant to provide high-level administrative support, assist with client management, office management, and business development efforts. This role is essential in ensuring seamless day-to-day operations, enhancing client experiences, and supporting sales activities. The ideal candidate will be a self-starter with exceptional organizational and communication skills, experience in the financial services industry, and the ability to multitask in a fast-paced environment. This position offers the potential for career growth, including obtaining industry licenses such as Series 7 and 63 as needed.
Key Responsibilities:

  • Provide comprehensive administrative support, including calendar management, scheduling, email correspondence, and document preparation.
  • Act as a primary point of contact for clients, handling inquiries, scheduling meetings, and ensuring a high level of service and responsiveness.
  • Assist in preparing financial reports, presentations, and client documents.
  • Maintain and update client records in CRM systems, ensuring accuracy and compliance with industry regulations.
  • Coordinate marketing and client outreach efforts, including email campaigns, social media updates, and event planning.
  • Assist in processing new business applications, handling paperwork, and ensuring adherence to compliance guidelines.
  • Manage office operations, including ordering supplies, maintaining office organization, and ensuring smooth workflow.
  • Oversee and coordinate special projects and provide support in strategic initiatives aimed at business growth and client engagement.
  • Support advisors in daily operations, ensuring alignment and efficiency across the firm.
  • Prepare for potential licensing requirements, including obtaining Series 7 and 63, based on business needs.
Qualifications & Skills:
  • Minimum of 5+ years of experience in an executive assistant, sales assistant, office management, or client service role within financial services, wealth management, or a related industry.
  • Strong understanding of financial products, investment strategies, and regulatory compliance preferred.
  • Excellent verbal and written communication skills with a client-focused mindset.
  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and CRM platforms (e.g., Salesforce, Redtail, or similar).
  • Ability to handle sensitive and confidential information with discretion and professionalism.
  • Strong attention to detail, organizational skills, and ability to manage multiple priorities effectively.
  • Proactive problem-solving abilities and a high level of initiative.
  • Ability to work both independently and collaboratively in a team-oriented environment.
  • Willingness to pursue industry licenses (Series 7, 63, or others as required) if needed for career growth.
