Project Coordinator

### **Role Overview**
Ironsail is seeking a **Project Coordinator** to own execution, coordination, and delivery across client and internal engineering initiatives. This role is responsible for ensuring projects move forward on time, within scope, and with clear visibility across delivery, billing authorization, and priorities.
The ideal candidate is highly organized, proactive, and comfortable operating at the intersection of **engineering delivery, client communication, and operational oversight**—without requiring engineers to manage administrative or billing complexity.
## **Key Responsibilities**
### **Delivery & Project Management**
* Oversee day-to-day delivery of client and internal engineering projects
* Track progress against timelines, milestones, and commitments
* Maintain project plans, schedules, and regular status updates
* Anticipate risks, dependencies, and delivery issues; coordinate solutions early
* Ensure consistent delivery processes across all active projects
### **Team Facilitation & Agile Support**
* Facilitate daily standups, planning sessions, and delivery reviews
* Support lightweight Agile practices appropriate for a small, fast-moving team
* Remove impediments to keep engineering teams focused and productive
* Maintain alignment across engineering and cross-functional stakeholders
* Foster a culture of accountability, clarity, and continuous improvement
### **Client Communication & Coordination**
* Serve as the primary delivery point of contact for clients
* Lead client check-ins and status meetings
* Communicate progress, risks, and timelines clearly and professionally
* Build and maintain strong, trust-based client relationships
### **Billing Awareness & Work Authorization**
* Maintain visibility into billable vs. non-billable work across projects
* Align delivery efforts with approved scopes, invoices, and payment status
* Ensure work is prioritized based on client authorization and billing readiness
* Coordinate with leadership to confirm which projects or tickets may proceed
* Surface risks related to unpaid, out-of-scope, or unapproved work early
### **Metrics & Reporting**
* Establish and maintain delivery metrics and scorecards (e.g., throughput, cycle time, WIP, capacity utilization)
* Connect delivery metrics with billing and authorization status
* Generate insights to improve predictability, prioritization, and process efficiency
* Provide leadership with clear, concise delivery and operational reporting
### **Operational Support**
* Own time-tracking compliance and ensure timely, accurate submissions
* Support resource planning and basic capacity forecasting
* Assist with onboarding new team members into delivery tools and workflows
* Maintain documentation related to workflows, decisions, constraints, and recurring ceremonies
## **Qualifications**
* 3–6 years of experience in Delivery Management, Project Management, Scrum Mastery, or similar roles
* Experience supporting software development teams in Agile or hybrid environments
* Strong facilitation, communication, and organizational skills
* Proven ability to manage multiple workstreams and resolve issues proactively
* Comfortable communicating directly with clients and senior stakeholders
* Proficiency with tools such as Jira, Linear, ClickUp, Asana, or similar systems
