Compensation: $17 per hour; paid bi-weekly
Employment Type: W-2 Part-Time Employee; Non-Exempt
Schedule: 2-3 Days per Week
Location: Upper West Side Office - Manhattan, NY
Role Summary:
An Office Assistant at MPG will play a vital role in facilitating the efficient operation of our growing mental and behavioral healthcare practice. Responsibilities include managing administrative tasks, supporting clinical staff, and ensuring the smooth flow of patient care. Your efforts directly contribute to the quality of healthcare services provided in the organization.
Office Assistant Responsibilities:
- Welcome clients and families, answer calls, and support appointment scheduling, rescheduling, and cancellations.
- Maintain a clean, organized, and welcoming office environment, including shared spaces, supplies, and clinician rooms by conducting regular office walk throughs.
- Manage office inventory, packages, mail, and vendor or maintenance coordination as needed.
- Scan, upload, and securely handle confidential documents within the EMR system.
- Troubleshoot basic office equipment and support general office technology needs.
- Provide administrative and operational support to clinicians and assist with office events and daily operations.
- Open and close the office, ensuring equipment, supplies, and spaces are properly maintained.
- Report facility or equipment concerns and assist with additional tasks to support smooth practice operations.
- Schedule vendors and coordinate maintenance for facilities operations as needed.
- Complete other tasks as assigned.
Preferred Schedule: Candidates will be able to select and work 2-3 of the shifts below
- Tuesday 1:00-8:00 PM
- Wednesday 2:00-8:00 PM
- Thursday 9:00 AM-3:00 PM
- Friday 9:00 AM-6:00 PM
- Saturday 9:00 AM-3:00 PM
Compensation & Benefits
- Compensation : $17 per hour; paid bi-weekly
- Retirement Eligibility : 401(k) retirement plan with employer match up to 4%
Office Assistant Requirements:
- High school diploma or GED required; bachelor’s degree in psychology or related field preferred.
- Ability to work in-person for 100% of shifts as established to meet the needs of the practice
- Strong organizational skills with attention to detail and task management.
- Strong written and verbal communication skills.
- Reliable and dependable with a strong sense of accountability.
- Ability to work independently and execute tasks or small projects with minimal supervision.
- Positive, friendly attitude with excellent customer service skills.
- Critical thinking and problem-solving skills are a plus.
- Basic proficiency in Google Workspace (Docs, Sheets, etc.).
- Willingness to learn and grow with a dynamic, expanding practice.
- Previous experience in an administrative or customer service role is preferred.
- Familiarity with HIPAA regulations and management of Protected Health Information (PHI) is preferred
