We’re seeking a highly organized, proactive, and friendly Association Administrator to provide part-time administrative and communication support to the organization’s leadership team and membership.

About the Role
The Association Administrator is the central point of contact for the organization, helping to keep day-to-day operations running smoothly. This flexible, part-time position supports board and committee activities, membership engagement, event coordination, and basic financial and communications management.
You’ll work independently while collaborating regularly with the President, Executive Board, and committee leaders.

Key Responsibilities
· Serve as the main administrative contact for the Association—monitoring email, phone, and correspondence.
· Provide general support to the Board of Directors, including scheduling meetings, preparing agendas and assisting with follow-up items.
· Maintain member records, contact lists, and basic financial tracking using QuickBooks.
· Manage communications such as newsletters, announcements, and updates to the website and social media.
· Assist in organizing two key annual events, coordinating with venues, vendors, and members. Attendance at these events is expected.
· Support committees (Membership, Professional Development, and others) with meeting coordination and simple administrative tasks.
· Help process membership renewals and maintain an accurate member database.

Qualifications
· 1–3 years of administrative, nonprofit, or association support experience.
· Strong organizational and communication skills.
· Comfortable working independently and managing multiple small projects.
· Proficiency in Microsoft Office, QuickBooks (or similar), and basic website or social media tools.
· Experience supporting boards, committees, or event logistics is a plus.
· Interest in the green industry, horticulture, or landscape trades a bonus (not required).

Position Details
· Schedule: Approx. 15 hours per week, flexible (occasional virtual meetings during business hours).
· Location: Remote within New York State (required). Travel required for 2 events located in central/western NY
· Compensation: $32,000 annually. This is a contract (1099) position.
· Start Date: Open until filled.
