Job Title: Sales Supervisor and Customer Service

Position Summary:

The Customer Service and Sales Supervisor plays a critical role in managing key customer accounts, processing incoming orders, coordinating transportation and logistics, and supporting the company’s sales growth strategy. This role requires a proactive leader with strong communication and organizational skills, capable of managing both existing accounts and new customer acquisition initiatives.

Key Responsibilities:

Order Management & Customer Communication:

• Receive and process daily customer orders via phone, email, and internal systems
• Confirm feasible delivery dates in collaboration with production management
• Update and maintain the daily production schedule
• Send order confirmations after shipment dates are finalized
• Provide customers with timely updates regarding order status and shipment information
• Maintain open order files and production status tracking

Freight & Logistics Coordination:

• Arrange cost-effective LTL and full truckload shipments
• Negotiate rates with brokers and carriers
• Coordinate pickups, track deliveries, and resolve shipping issues
• Reconcile freight invoices with accounting

Customer Account Management:

• Maintain strong relationships with key accounts, ensuring consistent satisfaction and retention
• Develop new business opportunities in line with the company’s sales strategy
• Prepare credit reference documentation for new customers and liaise with accounting for verification

Administrative Duties:

• Maintain a structured digital filing system for customer documentation
• Conduct market research to support customer acquisition and strategic sales planning

Required Experience & Skills:

• 5+ years of experience in customer service, inside sales, or account management—preferably in a manufacturing or logistics environment
• Working knowledge of freight and transportation logistics
• Proficiency with Microsoft Office Suite (especially Excel and Word)
• Experience with Microsoft Dynamics 365 Business Central or similar ERP software preferred
• Strong written and verbal communication skills
• Exceptional organizational abilities and attention to detail
• Ability to multitask in a fast-paced environment
• Problem-solving mindset with a focus on delivering outstanding customer service

Education & Certifications:

• High school diploma or GED required
• Associate or Bachelor's degree in Business, Communications, or related field preferred
• Valid driver’s license

Work Environment & Physical Demands:

• Office-based role with occasional walkthroughs of the manufacturing plant
• Regular use of phone, computer, and office equipment
• Must be able to remain seated for extended periods
• Light physical activity (lifting up to 10 lbs occasionally)
• Occasional travel required (3–5 times per year, domestic only)

Authority & Decision-Making:

• Oversight of order processing and distribution
• Approval of shipping terms and rates
• Collaboration with production for scheduling and priority decisions
• Customer issue resolution, credit processing, and invoice review
