As our firm continues to grow, we are seeking a highly organized and proactive Executive Assistant to support the Managing Attorney. This is a pivotal role for someone who thrives in a structured, fast-paced legal environment and enjoys helping a leader operate at the highest level of effectiveness.
This position is ideal for a professional with 2+ years of experience , preferably supporting attorneys in business litigation or complex civil litigation practices , who understands the importance of discretion, precision, and anticipation.

What You Will Do:
Strategic Calendar & Schedule Management
You will maintain a highly organized, proactive scheduling system that keeps the Managing Attorney focused on high-value work.
Responsibilities include:
- Maintaining a structured calendar using block scheduling principles
- Ensuring meetings are scheduled appropriately with minimal conflicts
- Reviewing the calendar 24–48 hours ahead and proactively adjusting as needed
- Coordinating travel arrangements and professional events well in advance
- Managing logistics for conferences, workshops, and professional development events
Success in this area means a well-structured calendar, clear priorities, and zero avoidable scheduling conflicts.
Email Management & Communication Support
You will help ensure the Managing Attorney’s inbox is organized, prioritized, and managed strategically.
Responsibilities include:
- Reviewing and triaging incoming emails
- Drafting responses and delegating communications when appropriate
- Maintaining an organized inbox with minimal backlog
- Handling routine communications professionally on behalf of the Managing Attorney
- Providing weekly summaries highlighting priorities, deadlines, and emerging issues
This role requires excellent written communication skills and the ability to mirror the attorney’s voice and tone.
Task & Project Coordination
You will help ensure that internal and external responsibilities stay on track.
Responsibilities include:
- Tracking assignments and projects delegated by the Managing Attorney
- Maintaining a task dashboard with deadlines and priorities
- Following up with team members to ensure progress
- Ensuring projects are completed on schedule
- Monitoring key responsibilities so that nothing falls through the cracks
Marketing & Relationship Management Support
Professional relationships are critical in a litigation practice. You will assist in maintaining and nurturing those relationships.
Responsibilities include:
- Maintaining referral and professional contact databases
- Tracking marketing and relationship-building activities
- Coordinating follow-ups after meetings, introductions, or speaking events
- Sending thank-you notes or professional correspondence following networking interactions
- Maintaining organized marketing and referral tracking spreadsheets
Data Tracking & Reporting
You will assist in ensuring that leadership has clear visibility into firm performance metrics.
Responsibilities include:
- Maintaining dashboards that track marketing, production, sales, and financial metrics
- Preparing weekly check-in reports for the Managing Attorney
- Conducting research and assisting with planning tasks when needed
- Organizing key data to support decision-making
Supporting the Managing Attorney’s Effectiveness
Your role ultimately helps ensure the Managing Attorney stays focused on the work that drives the firm forward.
Responsibilities include:
- Providing daily priority briefings
- Protecting scheduled CEO or strategic planning time
- Managing reminders for critical deadlines, court dates, and deliverables
- Ensuring the majority of the attorney’s time is spent on strategic, leadership, and revenue-generating work
What We’re Looking For
Experience
- Minimum 2+ years of experience as an Executive Assistant, Legal Assistant, or Administrative Professional
- Experience in a law firm environment preferred
- Business litigation or civil litigation experience strongly preferred
Skills
- Exceptional organization and attention to detail
- Strong written and verbal communication skills
- Ability to prioritize competing demands in a fast-paced environment
- Professional judgment and discretion
- Proactive mindset with the ability to anticipate needs
Technology
- Comfortable with Microsoft Office, Google Workspace, and scheduling platforms
- Experience with legal practice management software is a plus

The position is a full-time job with a salary between $55,000 and $65,000. For those who can demonstrate profitability, there is an opportunity for bonus compensation.
