Administrative Manager for The Dean’s Office
JOB SUMMARY
The Manager for the Office of the Dean for the School of Art will have the primary responsibility formanaging and
maintaining a high-level of effectiveness for the Dean's Office by providing comprehensive, results-oriented administrative andprofessional
support and for project management of activities assigned by the Dean. The Manager will act as the first point of contact forthe Dean. This
position will be responsible for the management, preparation and distribution of all materials, internal and externalcommunications from
the Dean’s Office and will be responsible for managing the PT Administrative Assistant working in the School ofArt.
KEY
RESPONSIBILITIES
- Provide administrative support to the Dean and Associate Dean through themanagement of the day-to-day activities, communications, strategic initiatives, events, while ensuring a responsive, successful, andefficient workflow.
- Serves as the lead project manager for the Dean’s office, including setting goals and timelines, distributingtasks to others as appropriate, and managing follow-up to ensure high-quality, timely completion.
- Serves as the lead writer forthe Dean’s day-to-day communications, including drafting internal and external letters, talking points, and presentations, consistent withthe Dean’s goals. Regular review of School of Art’s Newsletter and other platforms of messaging.
- Provides a high level of projectmanagement support to the Dean including heavy and strategic schedule management, as well as coordinating the Dean’s involvement at meetingsand events with key College stakeholders; empowered to make schedule changes to best support the Dean's goals, often making independentdecisions on competing appeals that must be quickly and thoughtfully prioritized.
- Handles assignments that are complex in anature where independent action and a high degree of initiative and confidentiality are required in resolving problems and developingrecommendations.
- Prepares Dean and Associate Dean for high level meetings, manages travel and itinerary for all off-campusactivities, and researches/furnishes all necessary background information needed to facilitate Dean's successful participation in theseactivities.
- Works with Dean’s staff to set meeting agendas. and manages meeting follow-ups, ensuring that all responsible partiescomplete their deliverables and have the necessary institutional support in doing so.
- Serves as the initial contact point for theDean, communicating effectively and making quick and sound judgments on next steps for sensitive matters brought to the Dean.
- Intersects with faculty, staff, students, and alumni in a fast-paced, service-oriented office environment that often involves sensitive or confidential matters.
- Independently anticipates the Dean’s administrative needs and proactively brings together appropriate people and resources in support.
- Prioritizes and triages requests to the Dean’s office reassigning inquiries to other departments to assure effective and timely resolution.
- Assumes other duties as assigned.
- A minimum of 5 years of experience supporting a senior level executive.
- Excellent oral and written communications skills,including at least 5 years of experience in institutional writing and writing for senior executives.
- Demonstrated track record ofhandling sensitive and confidential information and professional relationships.
- Must be completely customer focused and able torepresent the Dean’s Office in a professional manner creating a positive effective and welcoming environment.
- Ability to takeinitiative, multi-task and act independently.
- Strong communication and interpersonal skills are essential.
- Must bedetail oriented, organized, and highly motivated.
- Must have excellent prioritization, planning and organizing skills with theability to effectively manage multiple projects simultaneously
- Ability to be flexible and work until the job is done.
- Must have strong organizational and interpersonal skills
- Must be able to maintain a high degree of confidentiality at all times.
- Must have a thorough knowledge of MS Office (Word, Excel, PowerPoint, etc.), slide presentation software, and web maintenance.
- Ability to work with all constituencies with tact and diplomacy.
- Ability to understand the importance of providinghigh level, responsive service to both internal and external constituencies.
Bachelors degree
Annual Salary - $80,000 - $89,000
This is a non-union position.
