Event and Program Coordinator

We are seeking a motivated team member to successfully implement our annual event, program, and educational workshop schedule. The Event and Program Coordinator will collaborate with the Chamber team to increase member retention, serve members, deliver tangible benefits, and enhance sponsor value received. This role is a key player in connecting members to opportunities for growth and engaging our membership with the broader community.

Job Duties Event, Program, and Workshop Coordination (75%)
- Coordinate and execute monthly networking events such as Business After Hours, roundtable gatherings, and support coordination of regular membership outreach events.
- Coordinate, plan, and execute Chamber's annual workshop and educational series schedule, as well as the Chamber's Diversity, Equity, and Inclusion workshop series in collaboration with the Director of Community Initiatives.
- With support from the rest of the team, lead efforts to plan and execute four larger, high quality annual events such as the golf tournament, annual dinner & awards program, economic summit, and policy breakfast.
- Support committee and partner organizations in planning and presenting the Fab5 Young Professional awards.
- Coordinate Chamber's role in supporting Movies in the Park, a five-week long evening movie series on Friday nights in late July-August, along with producing partner CNY Events (contract in place).
- Develop and monitor annual budget for events and programs in conjunction with the President, with a focus on judicious use of Chamber resources and increased net revenue.
- Maintain separate budgets for each event, program or program series, ensuring that sponsorship and attendance revenue exceeds expenses and meets budgeted targets for net revenue.
- Cultivate and support an engaged group of volunteers to expand capacity of the Chamber, with particular focus on event management and generation of donations.
- Delegate appropriate assignments to other staff members and volunteers.
Leadership Tompkins - 20%
- Collaborate with Leadership Tompkins Advisory Board and Facilitator, as well as Chamber Staff/Leadership, to support execution of the Leadership Tompkins program annually.
- Provide administrative support for Advisory Board; support Facilitator with scheduling, planning, and execution of class program days.
- Coordinate marketing/outreach and website update needs with Facilitator and/or Chamber Marketing & Communications Coordinator.
- Coordinate class application/acceptance process, communicate regularly with class participants regarding upcoming program details; maintain alumni lists and historic program files for continuity.
- Attend Leadership Tompkins program monthly, shadowing the facilitator and supporting their successful leadership of the program throughout the year as necessary.
Communications, Marketing & Community Relations (5%)
- Provide event & program content/articles of interest for the Chambergram newsletter.
- Ensure events are effectively marketed to membership and community in conjunction with the Marketing & Communications Coordinator (eblast, Chambergram website updates, press releases, social media, Facebook events, YouTube uploads post-event)
- Ensure maintenance of Chamber database and other supporting technologies for areas under purview.
- Report to the board as requested on events, programs, and sponsorship deliverables; provide content for annual report. Attend approximately four board meetings annually.
- Represent the Chamber in community related projects as requested and be actively involved.
Other Duties as Assigned.
Essential Functions This role is a combination of desk work (hybrid in-office/remote) and onsite, hands-on work that requires time moving about an event in both indoor and outdoor settings. Off-site meetings around the county are common. Work is completed in digital formats individually and in collaborative groups. Social capacity includes small meetings, networking at small and large events, and a moderate amount of public speaking when introducing events, speakers, and sponsors. Some light manual labor is performed when moving supplies or arranging spaces. Occasional evening hours are required, approximately twice per month.
Technological systems and platforms used include Microsoft Office: Word, Excel, Outlook, Teams; Zoom/virtual environments; Trello or other project management software; social media platforms; familiarity with web-based database management, and onsite hybrid meeting technology.

Candidate Profile Desired Education & Experience: At least three years' related work experience, with demonstrable skills applicable to work scope described herein. High school degree required, some college, associate or bachelor's degree in a related field preferred. Event and program management, budget development and administration, volunteer management, and/or marketing and community relations experience preferred.
Desired Characteristics: This role is ideal for someone who loves planning and executing successful events. Strong oral and written communications skills; an inquisitive and creative nature; effective time management skills; taking initiative and exercising creativity; planning, organizing, and the ability to execute on deadline will all serve this person well in this role. Delegation and volunteer management skills are useful.
PERFORMANCE FACTORS: A separate work plan document is generated annually with team input identifying the specific Goals/Objectives for the employee work program area, to be utilized to gauge objectives and performance during the review period. Overall goals for the role will include:
Effectiveness of programs in terms of planning, execution, and objectives met for each event or program
- Increased member engagement - attendance and participation
- Budget development and control - on a per program and average annual budget basis
- Increasing non-dues revenue, or net revenue from Events & Programs annually
- Effective communications and collaboration with peer team members, board/volunteer groups, members, and external stakeholders
