Job Description: Administrative Specialist I​

Hourly Rate: $18 (starting), $21 (after 6 months probationary period, performace based)

There are 3 levels to this title. New hires will generally be hired at level 1.

Position Overview:
Tribune Training Academy is seeking a dedicated and organized Sales and Office Administrator to join our team. This individual will be responsible for managing student registrations, handling sales inquiries, and performing general office duties to ensure the smooth operation of our adult career training school. The ideal candidate will possess excellent communication skills, a customer-focused attitude, and the ability to multitask effectively.

Key Responsibilities:

1. Student Registrations:

  • Process student registrations for various training programs, ensuring all required information is accurately collected and recorded.
  • Maintain and update student records in the database.
  • Coordinate with instructors and training coordinators to confirm class schedules and student attendance.

2. Sales and Customer Service:
Respond to inquiries from prospective students via phone, email, and in-person visits.

  • Provide detailed information about training programs, schedules, fees, and registration procedures.
  • Assist students with the enrollment process, including providing guidance on necessary documentation and prerequisites.
  • Follow up with leads and maintain a pipeline of potential students.

3. Office Administration:

  • Manage daily office operations, including answering phones, responding to emails, and handling mail.
  • Maintain office supplies and ensure the training facility is well-organized and presentable.
  • Assist with preparing training materials and setting up classrooms for courses.
  • Coordinate with external vendors and service providers as needed.

4. Data Management and Reporting:

  • Keep accurate records of sales and registration data.
  • Generate reports on student enrollment, class attendance, and sales performance for management review.
  • Assist in analyzing data to identify trends and opportunities for improvement.

5. Additional Duties:
Support marketing efforts by participating in promotional activities and events.

  • Perform other related duties as assigned by management.

Qualifications

  • Associates Degree and experience in the related fields
  • Proven experience in a sales or administrative role, preferably in an educational or training environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with database management.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to work independently and as part of a team.
  • Customer-focused mindset with a positive attitude and professional demeanor.
  • Language: Must speak fluent English, preferably Bengali/Hindi or Spanish

Work Schedule:

  • Full-time position; may require occasional evenings or weekends to accommodate student needs and events.
