About the Role
We are seeking a highly organized, proactive, and discreet Office Manager to serve as the backbone of our corporate operations. This key role will oversee multiple office locations (including lease management), vendor relationships, benefits administration, insurance policies, and other essential corporate initiatives. Reporting directly to senior leadership, you will ensure seamless day-to-day operations in a fast-paced, confidential financial services environment.

Key Responsibilities
- Manage office facilities and leases across current and future locations, including coordination with landlords, renewals, expansions, build-outs, and space planning
- Oversee vendor agreements and relationships (IT, office supplies, cleaning, maintenance, telecom, etc.), negotiate contracts, track expenses, and ensure cost-effective service delivery
- Administer employee benefits programs, including enrollment, changes, compliance with regulations, coordination with brokers/providers, and support for open enrollment
- Manage all corporate insurance policies (property, liability, D&O, cyber, workers' comp, etc.), including renewals, claims coordination, risk assessments, and working with brokers/insurers
- Handle broader corporate initiatives such as policy development, compliance support, office policies/procedures, health & safety protocols, and business continuity planning
- Oversee general office operations: supplies inventory, mail/courier services, reception coordination (if applicable), meeting room scheduling, and visitor management
- Support executive team with administrative needs, expense tracking, and special projects as required
- Maintain strict confidentiality and handle sensitive information with the highest level of discretion
- Monitor office budget, process invoices, and contribute to financial reporting related to facilities and administrative expenses
Qualifications & Requirements
- 5+ years of experience as an Office Manager, Facilities Manager, or similar operations role, preferably in financial services, investment management, private equity, hedge funds, or professional services firms
- Proven track record managing office leases, vendor contracts, benefits administration, and insurance programs
- Strong understanding of corporate compliance, risk management, and regulatory requirements in a financial environment
- Excellent organizational, project management, and problem-solving skills
- Proficiency with Microsoft Office Suite (especially Excel); experience with HRIS/benefits platforms, lease management software, or insurance tracking tools is a plus
- Exceptional communication skills (written and verbal) and ability to interact professionally with executives, vendors, and team members
- Discretion, integrity, and ability to handle confidential information
- Bachelor's degree preferred; relevant certifications (e.g., in facilities management, HR, or insurance) are advantageous
