Administrative Assistant
Our TRUST Outpatient Treatment Program is dedicated to providing comprehensive, person-centered care for individuals seeking recovery from substance misuse. As an Administrative Assistant, you will play a vital role in supporting the daily operations of the program, ensuring smooth administrative processes and excellent service for both clients and staff. This position offers the opportunity to make a meaningful impact in a supportive and mission-driven environment.
Responsibilities
- Maintain confidentiality of all client information in accordance with program policies.
- Provide administrative support to program staff, including scheduling, correspondence, and document preparation.
- Establish and maintain relationships with funding and referral sources, as well as insurance representatives.
- Create and manage client records, ensuring all materials are up to date and accurate.
- Verify and monitor client insurance eligibility.
- Conduct phone screenings and schedule intake appointments for new clients.
- Coordinate client transportation needs as required.
- Assist with fiscal operations, including creating purchase orders and maintaining fiscal processes as directed by the Finance Department.
- Manage incoming and outgoing mail, including interagency correspondence.
- Attend staff meetings and maintain accurate meeting minutes.
- Perform additional duties as assigned by the program director.
Qualifications
- Associate degree or at least two years of related administrative experience.
- Proficiency with basic keyboarding, Windows, and Microsoft Office applications.
- Ability to work independently and manage multiple tasks efficiently.
- Excellent written and oral communication skills.
- Valid NYS driver’s license.
