GENERAL JOB DESCRIPTION:

Perform administrative activities for and on behalf of the Community Engagement Department and conduct general office duties, including computer input, bulk mailings, copying, faxing, reception, and other miscellaneous clerical office functions.

GENERAL DUTIES:

Complete all typing, filing and report writing assignments within designated time periods. Gather and produce Department's Directors Report on the third business day of each month and forward the completed report to the Director of Community Engagement and Executive Assistant. Assist program staff in completing typed work associated with the Department. Answer all incoming Department calls, referring calls to appropriate staff. Maintain a copy of the Director of Community Engagement's schedule in Outlook. Maintain and monitor the supply inventory for the Department. Place all supply orders needed by the Department to the Western New York Independent Living, Inc. (WNYIL, Inc.) Administrative Assistant who is assigned to order Agency wide supplies. Post and take outgoing mail to either the mailbox or post office when scheduled.

SPECIFIC DUTIES:

Take and finalize minutes and coordinate mailings to the WNYIL, Inc. Community Engagement Committee and its sub-committees on a regularly scheduled basis. Maintain all Community Engagement bulletin boards. Maintain, on a daily basis, all agency databases with consumer, donor and sponsorship information. Respond to all donors, contributors, of the WNYIL, Inc. as their gifts are received (i.e. donations, memberships, gifts, etc.) and prepare and send thank you letters, within one week.

EDUCATION & TRAINING:

High School Diploma or Equivalent OR Associates degree in business, English, or related field.

KNOWLEDGE & EXPERIENCE (if required):

Experience working with individuals with disabilities is preferred. Professional and life experience my be considered in lieu of, in full part of academic credentials.

High school diploma or equivalency requires 4 years related work or volunteer experience with people with disabilities.

Associate degree requires 2 years related work or volunteer experience with people with disabilities.

SKILLS & ABILITIES:

Must be able to type thirty-five (35) words per minute. Must have excellent verbal and written communication skills, good organization, and analytical skills. Must have intermediate level of knowledge of computers including the use of Excel spreadsheets, databases, word processing and networks. Perform in a professional, conscientious, and efficient manner for the purpose of ensuring a better quality of life for persons with disabilities. Multi-tasking and time management with the ability to prioritize tasks correctly are essential for this position. Hiring Preference given to Niagara County residents.
