About Queens County Farm Museum

Queens County Farm Museum (QCFM) is one of the longest continuously farmed sites in New York State, with over 325 years of continuous farming. Through educational programs, events, and museum services, we educate the public about the significance of Queens County's agricultural and horticultural past while promoting awareness of present-day sustainable agricultural and horticultural practices.

QCFM is a New York City Landmark, listed on the National Register of Historic Places, and a member of the Historic House Trust of New York City. Each year, the Farm hosts a wide variety of educational field trips, public events, adult education programs, summer camp experiences, and community programs that connect visitors of all ages to agriculture, history, and the environment.

Position Summary

Queens County Farm Museum seeks a highly organized and detail-oriented Education Coordinator, Scheduling to support the daily operations of the Education Department. Reporting to the Director of Education, the Education Coordinator serves as the primary point of contact for scheduling and coordinating the Farm's educational programs, including school field trips, Insider Tours, Girl Scout programs, outreach programs, and other educational offerings.

This position is responsible for managing program reservations, communicating with teachers and group leaders, collecting and tracking program payments, maintaining educator schedules, and ensuring the smooth day-to-day operation of a busy educational program calendar. The Education Coordinator works closely with educators, schools, community organizations, and QCFM staff to ensure a positive and seamless experience for all participants.

Queens County Farm Museum serves more than 40,000 students annually through hands-on educational programming. This role is critical to ensuring that thousands of students, teachers, and community members are able to participate in meaningful educational experiences each year.

Key Responsibilities

  • Serve as the primary scheduler for educational programs, including school field trips, Insider Tours, Girl Scout programs, outreach programs, and other educational offerings.
  • Coordinate educator assignments and maintain schedules for a team of per diem educators.
  • Communicate with teachers, group leaders, and program participants via phone and email regarding scheduling, logistics, payments, and program details.
  • Collect, track, and record program payments and maintain accurate financial records related to educational programming.
  • Manage CRM and scheduling databases to maintain accurate reservation, attendance, and participant records.
  • Coordinate self-guided tours, homeschool groups, scout visits, and other educational programs.
  • Develop attendance reports and maintain program statistics.
  • Ensure visiting schools, campers, and tour groups follow QCFM safety protocols and operational guidelines.
  • Perform additional duties and responsibilities as assigned by the Director of Education.

Desired Qualifications, Skills & Experience

  • Bachelor's degree preferred; backgrounds in education, museum education, youth development, nonprofit administration, environmental education, or sustainable agriculture are a plus.
  • 2–3 years of administrative experience, preferably supporting educational programming, operations, customer service, scheduling, or reservations management in a school, museum, nonprofit, or similar setting.
  • Proficiency with Microsoft Office Suite (Outlook, Excel, Word, and Teams highly desirable).
  • Experience with CRM systems, scheduling software, Google Workspace, spreadsheets, and database management.
  • Experience with Doubleknot software is a plus.
  • Excellent communication, writing, and organizational skills with strong attention to detail.
  • Self-motivated with strong problem-solving abilities.
  • Ability to work well under pressure and manage multiple projects.
  • Ability to remain composed and professional in a busy, often unpredictable environment, effectively balancing competing priorities, schedule changes, staffing needs, and time-sensitive requests.
  • Excellent interpersonal, collaboration, and relationship-building skills.
  • Ability to take direction and work collaboratively as part of a team.
  • Appreciation for working on a public farm in an urban setting and supporting educational experiences for diverse audiences.

Hours & Compensation

  • Part-time, 25-30 hours per week
  • Monday through Friday, 8:00 AM–1:30 PM
