Overview
PMX Investment Operations supports our centralized investment teams across a wide array of workstreams, inclusive of resource management, reporting, invoice reconciliation, and automation. We are searching for a Director, Investment Operations to help lead the team in these efforts. This position requires strong multi-tasking skills, a passion for process, and a curiosity and openness to streamlining workstreams and applying new tools and platforms.
Responsibilities
Resource Management

Collaborate with Practice leads to support talent allocation across PMX Investment, optimizing client utilization and cost management. Have a finger on the pulse of all projects and roles to deliver client staffing/sourcing needs; provide guidance for optimizing staff including the benefit of client utilization and shifting resources across projects to address high/low needs across the Practices/teams.

Partner with Talent Acquisition and HR to coordinate hiring processes for (Full-Time, Freelance, Project-Based, Task-Force) Roles across PMX Investment, ensuring all new talent requisitions are within budget/scope. Plan and coordinate hiring approvals, liaise new talent, and track inter-PM shifts and attrition between Agency, HR, and Finance.

Support processes for managing a regular cadence of resource reporting including utilization, pacing, FTE tracking, and resource forecasting and spend/activity tacking. Attend weekly team staffing meeting to facilitate staff movement and hiring. Recognize and address any bottlenecks in the approval process.

Provide actionable analysis (LOE Reporting) and recommendations to support overall operational efficiency drawing on utilization data, each person's skill set, project needs, roles and responsibilities, media and market buy-count data, and project spend data. Continually support the "right-sizing" of client projects based on scope and talent required to deliver.

Drive internal mobility and cross-team fluidity as needed.

Monitor commercial development process across Practices and streamline/create consistency where applicable.

Develop and coordinate annual employee recognition program and philanthropic efforts across PMX Investment.

Streamline cohesive Learning & Development opportunities across PMX Investment in collaboration with L&D partners, Practice Leads and Executive Leadership.

Oversee maintenance of talent org chart across PMX Investment.
Reporting & Platforms

Support forecasting exercises across PMX Investment, partnering with Finance and Practice Leads to ensure people/hours forecasts are current and accurate.

Oversee ad hoc requests and partner deal tracking across channels as applicable.

Maintain FTE/staff matrices and annual hours pacing/YOY trending for all PMX Investment Practices.

Facilitate tracking and communication with Brand Agency RMs regarding timecodes and address issues where applicable.

Support and advance automation efforts in collaboration with Director of Product, inclusive of evaluating new tools/platforms, coordinating licensing costs/approvals and implementing process adjustments across teams.
Invoice Reconciliation

Manage PGD reconciliation teams across PMX Investment, consulting with Prodigious management to continually evolve roster to meet client needs & funding.

Coordinate with Practice Leads & Prodigious to secure approval for promotions and manage attrition/mobility as applicable.

Develop and continually update training & best practices in the form of live sessions and collateral; troubleshoot gaps on an ongoing basis.

Establish and monitor delivery against individual & team KPIs, regularly assessing contributing factors to any shortfall and pivoting strategy to improve.

Regularly review pacing reporting, assess staffing misalignment, and collaborate with practice leads to address accordingly.

Ensure rigorous testing of new platforms and alignment on new workflows when applicable.

Collaborate with Resources to bring further automation to the reconciliation process where applicable.
Qualifications

Minimum 10+ years agency experience

Proven Leader who commands authority and respect while leading a team in day-to-day media management

Excellent interpersonal and Collaborative Skills

Able to delegate management and operational tasks to team members, clearly communicating expectations and managing deliverable timelines

Experience with various media platforms (Media Ocean Spectra OX, PRISMA)

Advanced knowledge of Microsoft Suite (specific attention to Excel and PPT)

Ample leadership experience and a demonstrated track record of strategically and proactively solving

Ability to build great relationships with clients, key stakeholders and vendor partners.

Proficient in translating complicated ideas and complex data into simple and actionable outputs

Compensation Range: $121,315 - $194,220 annually. This is the pay range the Company believes it will pay for this position at the time of this posting. Consistent with applicable law, compensation will be determined based on the skills, qualifications, and experience of the applicant along with the requirements of the position, and the Company reserves the right to modify this pay range at any time. Temporary roles may be eligible to participate in our freelancer/temporary employee medical plan through a third-party benefits administration system once certain criteria have been met. Temporary roles may also qualify for participation in our 401(k) plan after eligibility criteria have been met. For regular roles, the Company will offer medical coverage, dental, vision, disability, 401k, and paid time off.
