Executive Administrative Coordinator

Location: New York, NY (Hybrid)

Job Type: Full-Time, Non-Exempt

Job Summary

HireFrontier is a modern staffing and recruitment company connecting exceptional talent with leading employers. We're hiring an Executive Administrative Coordinator to support our Chief of Staff, CEO, and Executive Leadership Team in a fast-paced, confidential environment.

Responsibilities

● Manage executive calendars, meetings, and travel arrangements

● Coordinate domestic and occasional business travel and itineraries

● Support executive scheduling and meeting logistics

● Serve as primary contact for internal/external communications

● Field calls, emails, and correspondence professionally

● Draft and proofread business documents

● Support office operations, vendor coordination, and mail

● Help organize company meetings and recruiting events

● Maintain confidentiality and discretion

● Take on additional duties as assigned

Working Conditions

● Hybrid schedule with occasional evening/weekend flexibility for events

● Comfortable in a dynamic environment handling multiple priorities

Qualifications

● Bachelor's degree or equivalent experience

●1+ year in administrative, executive support, or staffing role preferred

● Excellent written and verbal communication

● Strong organization and multitasking with attention to detail

● Proficient in Microsoft Office, Google Workspace, and Adobe Acrobat

● Strong customer service and problem-solving skills

● Able to work independently and collaboratively

● High integrity and professionalism
