Position Overview
The Residential and Day Supports Administrative Assistant provides administrative support the residential, day and employment supports team (IRA, Day Habilitation, and Employment) which includes maintaining compliance, internal and external communication outreach, and overall collaboration.
- Documentation Review: Review compliance reports in order to obtain and review all necessary documentation to ensure the people we support have plans that remain in compliance with relevant regulations and guidelines.
- Record Keeping: Outreach for all required documentation and upload into the organization's Electronic Health Record (EHR) system, ensuring that all information in the person supported' s profile is accurate and up to date.
- Person-Centered Planning: Assist with facilitating satisfaction surveys for people we support.
- Telehealth Assessments : Continuously monitor and run reports for telehealth assessments and share relevant files with external providers as needed.
- Support : Attend and note take at meetings, as needed (i.e., Interdisciplinary Team Meetings (IDT)). During staffing shortages, fill in as support (in person) as needed.
- Audits: Conduct audits to verify PCCS/OPWDD compliance, identifying and addressing any potential areas of non-compliance and/or lack of accuracy.
- Communication: Maintain open communication with the programs regarding people supported and their services, providing updates and information as needed.
- All other assignments deemed necessary by supervisor.
Job Skills
- Adept in Technology: Possessing the technological skills necessary to perform data entry, submitting/managing documentation through OPWDD and PCCS's Electronic Health Record (EHR), and skilled in Microsoft Office software such as Excel, Word, PowerPoint, Outlook, and more.
- Professionalism: Demonstrates strong commitment to meeting the needs of people supported, families, and advocates. Considers the impact on service satisfaction when acting and carrying out one's own job responsibilities. Takes personal responsibility for resolving service problems brought to one's attention.
- Communication: Engage in effective verbal and written communication by presenting oneself clearly and articulately when speaking and in writing to foster, encourage and facilitate honest, transparent, and open communication.
- Effective Organizational Skills: Ability to be organized and detailed oriented to keep track of information (e.g., to-do lists, meeting calendars, follow-ups, invoice processes, document compliance and digital file systems).
- Age Requirement: Minimum age of 18.
- Experience:
- Minimum of 1-year experience working directly with people with developmental disabilities, required.
- Minimum of 1-year experience working in an administrative setting, required.
- Educational Qualification:
- High school diploma/GED, required.
- Associate degree in related fields such as: Psychology, Human Services, Social Work, Mental Health, etc., preferred.
- On Call. No On Call Requirement.
- Drivers Status: Required, In-Frequent.
- Physical Demands: The nature of tasks may vary based on the individuals being supported. This may include assisting with toileting and hygiene, which could involve lifting. Reasonable accommodations will be considered to enable individuals with disabilities to fulfill essential job functions.
