We are seeking a highly organized and detail-oriented Accounting/Bookkeeping Specialist to support the Director of Finance with day-to-day financial operations and executive-level administrative tasks. The ideal candidate will manage bookkeeping, invoicing, financial reporting, and filing systems, while coordinating with merchants, tenants, and business partners. This role requires strong QuickBooks and Excel skills, the ability to manage multiple priorities independently, maintain strict confidentiality, and ensure the accurate and timely completion of all financial and administrative duties.
Primary Responsibilities:
- Work closely with and provide direct support to the Director of Finance.
- Perform day-to-day accounting tasks, including processing and tracking bills and invoices, contacting merchants about charges, submitting payments, and ensuring all items are recorded and properly filed.
- Enter and maintain all financial records in the bookkeeping software; create and update supporting spreadsheets and databases as needed.
- Prepare routine financial reports and statements and generate additional reports or analyses upon request.
- Maintain organized systems for filing, scanning, and archiving financial and administrative documents (both digital and physical).
- Handle property-related administrative tasks, including processing rent requests and receipts, drafting and updating leases, maintaining tenant records and communications, and preparing basic property documentation.
- Build familiarity with clients, partners, attorneys, and other key contacts to manage requests efficiently and professionally.
- Take initiative, work independently, and propose practical, creative solutions to streamline processes and support projects.
- Perform additional tasks and general office duties as assigned by the Director of Finance.
Requirements:
- Minimum 4+ years of high-level accounting or finance administrative experience, preferably supporting C-level or other senior executives.
- At least 2 years of hands-on bookkeeping experience.
- Bachelor’s degree in Accounting, Finance, or a related field required.
- Proficiency in QuickBooks and Microsoft Excel is required.

Compensation:
- Salary range: $55,000-$65,000.

Office Hours:
- Monday through Thursday 9:30 AM-6:00 PM and Friday 9:00 AM-5:00 PM.
