Event Sales & Coordinator Job Description

Position: Event Sales & Coordinator (with Administrative Support)
Location: Brickyard Craft Kitchen and Bar (Tribeca), New York City
Reports To: General Manager
Schedule: Monday – Friday, 10:00 AM – 6:00 PM (Full-Time)
Compensation: $60,000 annual starting salary

Job Summary

We are seeking an experienced Event Sales & Coordinator to join our team at an upscale downtown Manhattan sports bar/restaurant. This role is responsible for driving private event sales, managing the full event booking process from inquiry to execution, and handling administrative tasks to support smooth operations. You will be the primary point of contact for corporate events, watch parties, birthdays, graduations, happy hours, and other private bookings — helping to maximize revenue in our high-ceiling venues with large TVs, balcony space (at Continental), and flexible layouts.

Key Responsibilities

Event Sales & Booking

  • Proactively generate and close event leads through outbound sales, networking, Resy, venue tours, and partnerships.
  • Handle all inbound inquiries via email, phone, and online platforms.
  • Create custom quotes, proposals, and packages tailored to client needs (corporate, social, sports-themed events, etc.).
  • Prepare and manage contracts, deposits, invoices, and final billing.
  • Book and coordinate reservations for private events and large parties.

Event Coordination

  • Manage the full lifecycle of events: planning, setup requirements, timelines, menu selection, AV/tech needs, staffing, and day-of execution.
  • Conduct site visits and virtual tours for potential clients.
  • Collaborate with kitchen, bar, and floor teams to ensure seamless event delivery and exceptional guest experiences.
  • Follow up post-event for reviews, referrals, and repeat business.

Administrative Duties

  • Manage high-volume email correspondence professionally and promptly.
  • Maintain accurate records in reservation systems, CRM, and event logs.
  • Handle invoicing, payment processing, and basic bookkeeping support for events.
  • Update event calendars, menus, and marketing materials.
  • Assist with general office admin tasks as needed to support the General Manager.
Requirements
  • Minimum 2+ years of proven experience in event sales, coordination, or hospitality sales (sports bar, restaurant, or venue preferred).
  • Strong track record of closing sales and managing multiple events simultaneously.
  • Excellent written and verbal communication skills with a professional email/phone presence.
  • Highly organized with strong attention to detail and ability to meet deadlines.
  • Proficiency with reservation systems (spothopper preferred), Google Workspace, invoicing tools, and basic CRM.
  • Experience creating quotes, contracts, and managing deposits/invoices.
  • Must be comfortable working in a fast-paced hospitality environment.
  • Availability for occasional evening or weekend site visits/events during peak seasons (March Madness, FIFA, playoffs, holidays) is a plus, though primary hours are Monday–Friday..
