Operations Manager – Wealth Management / Financial Services

Location: Melville, NY (On-site) | PERM | $75,000-$85,000

A growing, client-focused wealth management firm is seeking an experienced Operations Manager to play a critical role in supporting client account operations, onboarding, and overall day-to-day workflow within a high-touch advisory environment. This position is ideal for someone who thrives in a detail-oriented, service-driven setting and enjoys working closely with advisors, clients, and custodians to ensure all operational processes are handled with accuracy and professionalism. The Operations Manager will be responsible for managing account activity, transfers, onboarding, reporting, and internal workflows while helping maintain a seamless client experience. Key Responsibilities

  • Deliver a high level of service to clients and advisors in a professional, detail-oriented environment
  • Process new account openings and ensure a smooth onboarding experience
  • Handle account transfers, contributions, distributions, and money movement requests
  • Prepare, submit, and track custodial paperwork including account setup, asset transfers, and account maintenance
  • Work directly with custodians to resolve account issues and follow up on pending requests
  • Maintain accurate documentation of all client activity within the CRM system
  • Assist with billing, reporting, and operational workflows across the firm
  • Help improve internal processes to increase efficiency and accuracy
  • Support firm technology systems, including CRM and workflow tools
  • Communicate with advisors, clients, custodians, and service providers to ensure requests are completed on time
  • Ensure all work meets compliance and regulatory standards
  • Maintain organized records and written procedures
  • Participate in team meetings, training, and operational initiatives
  • Provide additional operational and client support as needed

Qualifications

  • 3–5+ years of experience in financial services, wealth management, brokerage, or advisory operations
  • Experience with account opening, transfers, and custodial paperwork
  • Experience working with custodians such as Schwab, Fidelity, Pershing, or similar platforms preferred
  • Familiarity with CRM systems (Salesforce preferred)
  • Proficiency with DocuSign and Microsoft Office Suite
  • Strong attention to detail and organizational skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Professional communication skills with clients and internal teams
  • Ability to handle sensitive financial information with discretion
  • Bachelor’s degree preferred
  • Series 65 or industry license is a plus
