About The Role We are seeking a detail-oriented and proactive Workplace Ambassador to support daily office operations, ensure optimal working conditions, and maintain a high standard of facility services. The ideal candidate will conduct routine space checks, manage supplies and inventory, coordinate with vendors, and assist with seating and conference room logistics. Main Job Responsibilities Facilities Monitoring & Condition Reporting- Conduct daily walkthroughs to assess and report on:
- Shade functions, lighting, HVAC/temperature, doors, and furniture
- Fire life safety hazards and hazardous materials
- Elevators, signage, flooring, paint, and artwork
- Freight lobby and fire stair conditions
- Cleanliness and general space upkeep
- Submit timely service tickets for any issues identified
- Monitor and support restocking of the following areas:
- Social Hub and BOH Pantry
- Copy areas (including printers and consumables)
- Conference rooms, Huddle & Focus rooms, and Wellness rooms
- Food & Beverage (F&B) equipment and locker usage
- Manage hoteling desks and office seating.
- Monitor seat occupancy and ensure correct name tags are in place.
- Escort new hires and assist visiting employees.
- Support with workstation clean-outs and employee move efforts.
- Monitor supplies, tech functionality, and cleanliness in:
- Conference Rooms, Huddle & Focus Rooms
- Social Hubs and Wellness Rooms
- Check for no-shows on conference room reservations.
- Submit internal requests for vendor services.
- Escort vendors during service appointments.
- Manage work order receipts and documentation.
- Oversee after-hours access for vendor activity.
- High school diploma or equivalent; associate or bachelor’s degree preferred
- Experience in facilities, workplace operations, or administrative roles.
- Strong attention to detail and organisational skills.
- Ability to multitask and manage competing priorities.
- Excellent interpersonal and communication skills.
- Familiarity with workplace ticketing systems and basic office technology.
- Analytical skills and process-oriented mindset.
- Ability to work collaboratively across departments and with building vendor teams, as well as independently.
- Ability to build positive and productive relationships that cultivate a high level of trust.
- Stakeholder management – visibly engage with employees and maintain a known presence in the workplace, recognised for being approachable and having a positive “can-do” attitude.
- Adaptable, resourceful, and highly perseverant – able to ensure issues are resolved in a timely manner.
