Talent Acquisition & Development Administrative Assistant

Summary Of The Position The Talent Acquisition and Development Administrative Assistant will provide critical support to Tishman Speyer’s Human Capital Management (HCM) team across both Talent Acquisition and Talent Development functions. This role will play an integral part in executing the firm’s recruiting initiatives, supporting employee development programming and internal training events. The ideal candidate is highly organized, proactive, detail-oriented, and thrives in a dynamic, fast-paced environment. This position offers broad exposure to the full employee lifecycle and the opportunity to grow within a world-class real estate organization. This position reports to the Head of Talent and will provide administrative support to both Talent Development leadership and broader HCM initiatives. Key Responsibilities- Support full-cycle recruitment across multiple levels, including executive, MBA and intern hiring.
- Coordinate candidate interviews, and logistics across time zones.
- Maintain applicant tracking and candidate data using Workday.
- Post open positions to university and job platforms, ensuring timely updates and accuracy.
- Create and manage candidate tracking spreadsheets (leveraging AI tools for data compilation and organization).
- Assist with debrief sessions and candidate communications throughout the hiring process.
- Partner with hiring managers and Talent Acquisition leaders to support interview days, assessments, and offer updates on processes.
- Coordinate logistics for Summer/Fall Campus Recruiting initiatives, including college treks, career fairs, on-campus interviews, and networking events.
- Manage event materials, shipping, and promotional items for fairs and treks.
- Support planning and execution of internal training programs, learning cohorts, and development sessions.
- Manage logistics for summer intern programming, including orientation, schedules, biography creation, and social/cultural events (e.g., Yankees game).
- Provide executive administrative support to senior HCM leaders (e.g., meeting coordination, calendar management, expense reporting).
- Process invoices and maintain budget tracking for HCM initiatives.
- Maintain organized digital and physical files, ensuring confidentiality and compliance with HR policies.
- Bachelor’s degree in Human Resources, Business Administration, or a related field preferred.
- 1–3 years of experience in an administrative, recruiting, or HR support role.
- Strong proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook, Word); experience with Workday or similar HRIS systems a plus.
- Excellent organizational skills and attention to detail, with the ability to manage multiple priorities and deadlines.
- Clear, professional communication skills—both written and verbal.
- Service-oriented mindset with a high degree of discretion and professionalism.
- Proactive, resourceful, and able to work independently with sound judgment.
- Highly collaborative and team-oriented, with a positive, “hospitality-first” approach.

The base compensation range for this role is $65,000 to $70,000. This role is also eligible for a discretionary annual bonus, as well as access to our comprehensive medical, dental, and vision insurance, life and disability insurance, 401(k) plan (with matching contributions), wellness benefits and all other benefits afforded to full-time Tishman Speyer employees.
This base range reflects a number of factors including, but not limited to, relevant experience, skill sets, and/or licensure required of an individual in this particular role. The base range is also specific to members of Tishman Speyer’s New York team, as we’ve considered factors specific to this geography.
