Location: New York, NY
Salary Range: $55,000 – $70,000 (commensurate with experience)
Position Overview
A nationally recognized professional services firm is seeking an organized and service-oriented Event & Hospitality Coordinator to support the execution of meetings, events, and hospitality functions for attorneys, staff, and clients across the firm’s offices.
This New York-based role plays a key part in delivering a high-quality, client-facing experience. The Coordinator will manage in-office meeting setups, food and beverage service, event logistics, RSVP tracking, and vendor coordination while collaborating closely with Facilities, Office Services, Reception, and other departments.
This is a hands-on, in-person role requiring professionalism, attention to detail, and strong communication skills.
Key ResponsibilitiesEvent & Meeting Support
- Provide on-site setup, food and beverage coordination, and breakdown for meetings and firm events
- Maintain daily conference room readiness including calendar tracking and meeting setup
- Manage Outlook calendar and conference room scheduling
- Work registration tables and firm booths at conferences, as needed
- Participate in pre- and post-event production support
Hospitality & Office Support
- Maintain meeting supplies, inventory management, and restocking for the local office
- Coordinate with Office Services for shipping, print jobs, and related services
- Track and save order receipts, meeting requests, and related documentation in accordance with firm policy
- Assist with inventory and supply maintenance for local and national offices
Event Administration & Tracking
- Maintain Event & Hospitality tracking spreadsheets in Excel
- Manage RSVP lists and event registrations
- Assist with shared inbox management (Outlook and MS Teams)
- Support community events, employee engagement initiatives, political and judicial fundraisers, and firm holiday events
- Coordinate directly with local vendors for firm-related events
- Manage data tracking including vendor management, registration lists, and inventory
Qualifications
- 2+ years of experience in event coordination, hospitality, office services, or client-facing environments
- Experience in a professional services environment preferred
- Strong client-facing communication skills (written and verbal)
- Proficiency in:
- Microsoft Excel
- MS Outlook
- MS Teams
- Experience with Zoom required
- Familiarity with Vuture, Marketo, Eloqua, Canva, or project management platforms such as Asana is a plus
- Strong organizational skills and ability to manage multiple priorities
- Ability to lift and set up meeting materials and food/beverage stations as needed

Compensation
The expected salary range for this position is $55,000 – $70,000 , based on experience and other job-related factors permitted by law.
