Assistant Events Manager
An Assistant Events Manager supports the planning and execution of events while leveraging event management platforms and digital tools to streamline operations, track client interactions, and ensure seamless coordination.
1. Event Planning & Coordination
- Assist in organizing events from concept through execution
- Develop timelines, checklists, and operational plans
- Coordinate logistics including venue, catering, AV, and staffing
2. Technology & Systems Management
- Use Tripleseat to:
- Manage event bookings and client accounts
- Track leads, proposals, and contracts
- Maintain event calendars and timelines
- Use project management tools like Trello , Asana , or Monday.com to track tasks
- Coordinate team communication via Slack or Microsoft Teams
3. Vendor & Client Communication
- Communicate with vendors and suppliers to confirm services
- Support client interactions, proposals, and updates
- Maintain accurate records of contracts and service agreements
4. On-Site Event Execution
- Assist with event setup, coordination, and breakdown
- Monitor schedules and ensure smooth event flow
- Troubleshoot technical or logistical issues during events
5. Administrative & Reporting Tasks
- Generate reports from Tripleseat and CRM systems
- Track budgets, invoices, and payments
- Maintain event documentation and post-event analysis
