Client Services Coordinator

Key Responsibilities:
- Create a Welcoming Vibe: Greet clients with cheerful energy, manage check-ins/check-outs, and schedule appointments with precision to keep patient visits on the rise.
- Master Multitasking: Juggle a high volume of taskshandling phones, emails, and in-person inquiries with immediacy while keeping the front desk running smoothly.
- Be a Communication Rockstar: Engage clients and staff with clear, professional, and upbeat communication, fostering strong relationships and a supportive clinic atmosphere.
- Drive Results: Collect co-pays efficiently, ensure all cancelled patients are rescheduled promptly, and complete cycles of action to meet key performance indicators (KPIs) that boost clinic growth.
- Handle the Action: Thrive in a bustling environment, proactively addressing challenges and asking for help when needed to keep operations seamless.
- Pitch In: Take on additional duties as needed to support the clinic's success and ensure a top-notch client experience.
Core Requirements:
- High school diploma or equivalent; additional training in office administration or healthcare is a plus.
- Strong communication skillsverbal and writtenwith a bubbly, professional tone that lights up the room.
- Proven ability to multitask in a high-action environment while staying organized and detail-oriented.
- Proficiency in Microsoft Office, scheduling software, and basic office equipment.
- Experience with insurance verification, billing, and collecting co-pays is preferred.
- A proactive mindset with the intelligence to assess situations, solve problems, and ask for support when necessary.

- Patient visits steadily increasing through excellent scheduling and follow-up.
- Phones and emails answered promptly to keep clients happy and engaged.
- All cancelled appointments rescheduled efficiently to maintain clinic flow.
- KPIs met consistently, reflecting your impact on client satisfaction and clinic growth.
