Front office manager
The Waldorf School of Saratoga Springs is seeking a front office manager beginning November 2025. This position is responsible for the running of our Lower School front office, providing a welcoming environment for faculty, staff, students, and parents, and assisting the faculty and administrative team with various clerical and administrative tasks as needed.
Hours: 4o hours/week during school hours, from 7:30am-3:30pm, when school is in session, plus two weeks before school begins and two weeks after school ends; reduced summer hours of 10 hours per week in July and August.
Experience: The ideal candidate will have 3-5 years of experience in a busy office environment; a high level of organization; the ability to maintain confidentiality; work well with staff and interact positively with students. Database, Excel and Google documents; email and email programs. Prior experience in a school office or classroom is a plus.
Responsibilities and Tasks:
- Answer phones, take messages for faculty, staff and students.
- Receive and direct visitors to the appropriate place, help coordinate meeting space for groups.
- Send, receive and distribute faxes and emails.
- Maintain main office files.
- Receive and distribute mail and deliveries.
- Assist faculty, students and parents with needs and requests.
- Ring daily bells at specified times.
- Be the central point of reference for information pertaining to the Lower School.
- General support of faculty (ie. with typing, mailings, copying, signup genius and coordination of parent volunteers for class teachers on an as-needed basis).
- Take appointments and organize student conferences.
- Help facilitate class trips by following policy (drivers, specialty notification, etc).
- Coordinate lunch programs.
- Collect and input daily student attendance.
- Support faculty with discipline needs by providing a supportive environment for a student as a temporary discipline measure.
- Coordinate bus transportation for students on a daily basis and supervise end of day dismissal for all bus transport students.
- Be point of contact for weekday site facility issues if facilities manager is not available.
- Assist with emergency substitution needs.
- Order office and classroom supplies.
- Send group emails.
- Generate weekly Bulletin.
- Attend weekly meetings.
