We bring in chefs from the world’s best restaurants to host intimate dinners in luxury apartments and members-only clubs. Our brand’s focus is centered around planning and executing experiences ranging from client entertainment dinners, cocktail parties, fashion shows, brand activations, press events, and more for Fortune 1000 brands, production management companies and private clients. The Role
We are looking to bring on a series of Venue Coordinators to join the Resident team. In this role, you will be responsible for overseeing space operations during rentals and guaranteeing that all those onsite follow the space’s rules and regulations. Resident Venue Coordinators are tasked with providing exceptional service to our clients while coordinating onsite operations and ensuring the protection of our partnered venues.
Shifts for this role are staffed on an as-needed basis and may fluctuate seasonally. The ideal candidate is expected to be key-holding and comfortable with a high level of responsibility across staff management and client servicing.
Responsibilities
- Facilitate communication between clientele and production/facilities managers
- Ensure that the space and facilities are provided and maintained in a clean, organized state
- Maintain consistent and transparent communication with Resident Production Team
- Open and close access to facilities per rental agreement including but not limited to locking up the premises, ensuring all utilities are functioning in working condition, etc
- Check in with key building team member(s) in union-staffed, tenant-shared, residential, or commercial buildings upon arrival/departure
- Communicate and enforce the space’s rules and regulations with clientele, vendors, security, and cleaning personnel
- Ensure staffing personnel are accessible during load in, event, and load out for clientele and vendors
- Maintain scheduling of staffing personnel to ensure timely arrival/departure and quorum to be met (must flag any arrival delays immediately to the Resident Production Team)
- Flag and address any incidents or inquiries that arise during rental period, with approval from Resident Production Team as-needed
- Perform inventory checks at the end of each day and flag if additional supplies are needed (i.e. cleaning supplies, equipment, etc)
- Maintain communication with clientele regarding their rental times and any potential overtime charges 3 hours prior to the end of their space access per day
- Complete pre and post event walkthrough with the clientele with proper documentation (i.e. photos, videos, etc)
- Ensure all post event procedures are executed appropriately
- Perform light maintenance/janitorial duties as needed per space
- Provide accurate and updated availability for scheduling purposes
Qualifications
- You’re proactive, solution-oriented, patient, and have a positive attitude.
- 2-3 years of hospitality and/or event experience required
- Ability to multitask and maintain composure in a client-facing role
- Great interpersonal and communication skills
- Exceptional organizational and time prioritization skills
- Willingness to work long hours, nights, weekends, and holidays – flexible schedule required. Must have a minimum availability of two 6-hour or one 12-hour shift(s) per week.
- Must be at least 21 years old
