Executive Assistant, BOOM! Studios - Onsite

BOOM! Studios, an imprint of Random House Worlds, seeks an Executive Assistant to support the Media team of BOOM Studios, located in Los Angeles, CA. This is an on-site, in office role.

The Executive Assistant will be responsible for supporting development, production, and operations for the company and for the three executives of the BOOM! Studios Development Team. As well as excellent organizational and administrative skills, the position requires extensive knowledge of the film and tv industry including writers, directors, producers, actors, agents, and production companies.

Knowledge of the comic book industry is a plus but is not necessary. Must have access to a car and ability to be in the office Monday through Friday.

Specific responsibilities include:

    • Manage day-to-day administration of the office and all executive desks.
    • Supervise calendars and scheduling of meetings, pitches, lunches, conference calls, etc, handle incoming and outgoing phone calls and maintain phone logs.
    • Assist with film and TV development; assess and provide feedback on incoming material (scripts, writing samples, etc.) as well as BOOM! projects (comics, treatments, script drafts), manage and coordinate incoming and outgoing project submissions and maintain submission logs, track and research projects, talent and potential partners via trades, tracking boards and relationships, build and maintain writer/director lists, update development reports and participate in weekly meetings.
    • Oversee building management; main point of contact regarding cleaning services, landscaping, repairs, furniture, lighting, plumbing, IT and audio/visual equipment, remodel/construction projects, parking. Handle daily office upkeep; maintain stock of snacks/beverages and office supplies, sustain cleanliness of kitchen and reception area.
    • Build expense reports and coordinate reimbursement for media team executives.
    • Management of guests and visitors; provide directions/parking, register drive-on’s and lot passes, greet guests upon arrival and offer beverages.
    • Build and maintain relationships with outside companies, creatives, and other partners, always positively represent BOOM! to the Hollywood community.
    • Maintain office libraries and files (physical & digital); comics and graphic novels, feature film scripts, company/project files.
    • Liaise w/ BOOM! publishing regarding publishing contracts, conventions, comic/graphic novel supply, company events, etc.
    • Run errands and perform occasional personal tasks as requested by executives.

    • Minimum of a year’s experience running a desk at an agency or production company.

    • Effective interpersonal communication skills.
    • Resourcefulness and ability to anticipate needs.
    • Strong follow-up skills and the dexterity to manage a busy inbox and multiple calendars.
    • Able to work both independently and as a member of a team.
    • Capability and interest in learning new applications.
    • Effective written communication skills.
    • Must have access to a car and up to date license.
    • Knowledge of the comic book industry is a plus but is not necessary.

This CA -based role is an onsite position with in-office responsibilities for five days a week in the office. We will consider candidates who can work from a commutable distance to our offices at 5250 Lankershim BLVD, North Hollywood, CA office.

The salary for this position is $55,000.00. All positions are currently eligible for annual profit award or bonus, subject to company results.
