Schedule: Monday - Friday, 8:00am - 4:30pm

**Must be flexible to accommodate physicians and clinic schedule**

Location: WIlliamsville, NY

Position Summary: Performs a variety of lead responsibilities involved in coordinating tasks and directing staff, as well as managing workflow and operational efficiencies at assigned site.

Responsibilities of Position:

  • Provides leadership and direction of assigned staff in the clinical and administrative setting. This includes ensuring adequate coverage, assigning tasks, resolving conflicts, and coaching, and providing feedback on individual performance with Senior Clinic Manager.
  • Coordinates and participates in a variety of patient care activities specifically greet and register patients, check-out and reschedule patients for follow visits and accept payment for services

  • Assists with scheduling employees, timekeeping and managing attendance related concerns.
  • Assist with discharge letters, work notes, and any other general correspondence for clinic and providers.
  • Assist with sorting and distributing all incoming mail and forms completion.

  • Responsible for discussing performance issues and communicating any concerns to the Senior Clinic Manager.
  • Demonstrates competency in each clinic role and participates regularly in the training of clinical staff, as well as maintaining those roles when needed to ensure there is adequate clinical support. This includes registration, check out, medical secretary, medical assisting and LPN (where applicable).
  • Evaluates workflow and communicates with manager in regards to operational efficiencies, and works with manager to develop strategic initiatives in regards to process improvement.
  • Demonstrates the ability to accept responsibility for appropriate conduct within the office setting and with patients and other department associates by calm, respectful interactions with other representatives of services at the Dent.
  • Conducts one-on-one’s with team on a regular basis to build working relationships and communicate goals and expectations.
  • Checks in with physicians and providers on a daily basis to ensure needs are met.
  • May participate in the hiring process to include interviewing, clinic tours and observations, and onboarding & training of new hires.
  • Completes duties in a timely efficient manner as set forth by the Senior Clinic Manager.
  • Reports errors or problems so that appropriate action may be taken for patient care.
  • Monitors all site personnel and communicates with department heads as necessary.
  • Assesses site conditions and communicates with Senior Clinic Manager to tend to building issues.
  • Other duties as assigned and requested by the Senior Clinic Manager, including assisting the team with day-to-day responsibilities within the clinic.

Skills & Experience Necessary:

  • Good understanding of general Medical terminology;
  • Excellent critical thinking and problem solving skills to promptly and thoroughly address any patient or employee related issues as they arise
  • Strong analytical skills with the ability to understand workflow and operational efficiencies within clinic or department
  • A high level of professionalism when interacting with patients and staff to serve as a role model to all employees
  • Very effective verbal communication and interpersonal skills to build relationships with employees and between clinics and departments, both on site & remotely.
  • Advanced knowledge of computer programs including Microsoft Excel, Lotus Notes, and PowerPoint.
  • Must have a flexible schedule to accommodate the clinic or department when staffing issues arise
  • Prior experience using eClinical Works preferred

Required Education

  • Associate’s Degree required, Bachelor’s Degree preferred. Nursing license a plus.

Preferred Education and Experience

  • Minimum 2 years’ experience supervising others
  • Good understanding of general Medical terminology

Compensation:

  • Most candidates will start within the first quartile of the pay range
  • Rates are commensurate with experience
