Student Services Operations Manager (full-time)
The College of Westchester , an Associate degree- and Baccalaureate degree-granting college in White Plains, is seeking a full-time Student Services Operations Manager. Reporting directly to the Vice President of Student Services and Retention, the Student Services Operations Manager oversees key administrative processes, workflow systems, compliance practices, and cross-departmental coordination that support student success from enrollment through graduation.
In addition to leading operational efficiency and technology-driven workflows (JotForm, Microsoft Office Suite), this role plays a central part in coordinating and finalizing compliance-related publications and institutional documents, including the College Catalog, Student Handbook, and standardized student communications that ensure regulatory alignment and institutional consistency.
QUALIFICATIONS:
- Minimum of a Bachelor’s degree; preferably a Master’s degree.
- Experience in higher education environment.
- Expertise with Microsoft Office Applications suite.
- Excellent follow-through, verbal and written communication skills.
- Strong attention to detail.
- Strong organizational skills.
- Ability to work independently and collaboratively.
DUTIES AND RESPONSIBILITIES:
- Ensure that all processes are efficient and student centric.
- Ensure all student services operations comply with institutional policies relevant to federal, state, and accreditation regulations.
- Assist VP with all administrative and secretarial tasks associated with the compilation of all student affairs related materials such as preparation of renewal of success coach’s contracts, reports, standardized official electronic outreach to students, catalog and student handbook.
- Assist with concierge’s functions.
- Assist with Student Life functions.
- Participate in All Student Services events such as Early Acceptance Day, Orientations, Commencement, and Honors Program.
- Assist advising team in meeting with students and supporting admissions with new enrollment registrations.
- Responsible and Oversight of Summer Fest.
- Assist the Registrar with input of master schedules for Day/Evening/Online sessions.
- Evaluate records for degree conferral.
- Prepare estimated class size documents.
- Consult with Registrar/Advisors to verify accuracy of schedules and expected graduation dates.
- Evaluate and post internal transfer credits.
- Complete deferments for student loans for students who are in the Day, Evening, and Online College.
- Prepare Bookstore schedule.
- Assist with transfer credit evaluations.
- Assist Registrar with scheduling Day, Evening, and Online students.
- Assure accuracy and integrity of outgoing transcripts.
- Maintain Degree Progress Audits for Day, Evening, and OL divisions.
- Prepare graduation packets for commencement. (Print transcripts & proof degrees)
- Verify Education Verification for all students for financial, state, and federal records. (Childcare/ provider forms, unemployment).
- Maintain Excel classroom/instructor grids.
- Maintain designated classrooms reserved meeting times in Outlook.
- Maintain the highest standards of quality and compliance in all aspects of operations.
- Perform other duties as assigned.
Compensation & Schedule:
Hourly Range for this full-time position : $24.04 – $24.04 per hour
Equivalent Annual Salary: $50,000
This is a full-time position requiring standard weekday hours, with occasional flexibility to support institutional priorities and campus initiatives.
