Position Summary:  The Director of Program Operations is a strategic and detail-oriented leader responsible for driving the operational excellence of Figure Skating in Harlem’s (FSH) youth programs. This role oversees enrollment management, data and impact tracking, internal communications, and cross-departmental coordination, ensuring smooth, effective, and mission-aligned program delivery. The Director of Program Operations is a key member of the Program Leadership Team and serves as a critical liaison to the Development Team.

Key Responsibilities

1. Enrollment & Database Management

  • Develop and implement annual recruitment strategy in collaboration with the Program Team.
  • Oversee application processes, document collection, and data integrity.
  • Manage student and family information systems, including Amilia database administration.
  • Generate enrollment and retention reports to inform programming and leadership decisions.
  • As needed, manage technology of program operations

2. Impact Measurement & Data Reporting

  • Lead student and family survey administration, data collection, and analysis.
  • Track and report longitudinal program outcomes and impact metrics.
  • Collaborate with program staff to use data for continuous improvement.

3. External Communications

  • Develop and manage the program communications calendar in coordination with Education, Skating and Student Engagement teams.
  • Serve as a point person for general family communications and inquiries.
  • Ensure timely and clear communication between FSH and its student families.

4. Development Liaison

  • Coordinate program-related site visits for funders and stakeholders.
  • Support the Development Team with impact data, stories, and reporting for grants.
  • Identify and facilitate media and storytelling opportunities to highlight FSH's impact.

5. Internal Program Operations

  • Support weekly Programs Meetings, including agenda setting, facilitation, note taking & follow-up.
  • Maintain program-wide project timelines, calendars, and planning tools.
  • Set the agenda and priorities for Senior Program Management Team weekly meeting with CEO.
  • Collaborate with Sharon (CEO) and Senior Program Management Team on scheduling and operational decisions.
  • Maintain regular on-site presence across both program locations to ensure smooth coordination and troubleshoot issues as they arise.
  • Manage program budgeting process in collaboration with CEO, VP of Finance, and program staff

6. Program Staffing

  • Manage hiring process for program staff, including development of job descriptions, posting, resume review, interviewing, training and on boarding new hires
  • Establish annual review process and ensure implementation

Team Supervision

Supervises: Program Operations & Events Coordinator (part-time)

  • Provides administrative and logistical support across programs, including:
    • Recruitment events and family outreach
    • I Can Excel program administration (waivers, releases, attendance)
    • Execution of major events (Ice Show, Awards Ceremony, Winter Skating Party)
    • Support for Education, Skating, and Engagement Teams (e.g., skate returns, family communications)
    • Tuition and Amilia platform support for families

Qualifications

  • Minimum 5 years of experience in program operations, youth development, education, or nonprofit management
  • Strong project management and organizational skills, with the ability to manage multiple timelines and priorities
  • Experience with CRM or program management systems (e.g., Amilia or similar)
  • Excellent written and verbal communication skills
  • Data analysis skills and experience with surveys or impact evaluation tools a plus
  • Collaborative and inclusive leadership style
  • Availability to work onsite at both Harlem locations regularly and for evening/weekend events as needed
  • Any HR experience a plus
