Job Description
This role oversees end-to-end payroll processing using ADP Workforce Now for a multi-state, commission-based workforce. The Payroll Specialist ensures accurate and timely payroll, maintains compliance with federal and state regulations, and provides high-quality support to employees in a fast-paced corporate office environment.
Responsibilities
- Process new hires using ADP Onboarding and ensure accurate setup of employee records.
- Process all employee transactions through ADP Employee Self-Service, including terminations, salary changes, direct deposit setup, address changes, and tax withholding updates.
- Administer and maintain wage garnishments and withholding orders in accordance with legal requirements.
- Process Draw vs. Commission payroll, ensuring accurate calculation and payment for commission-based and sales roles.
- Support union payroll processing and follow applicable union rules and agreements, where required.
- Ensure payroll compliance with all applicable federal and state tax laws and regulations.
- Prepare manual checks as needed and handle direct deposit reversals and deletions accurately and promptly.
- Audit all payroll reports prior to submission using ADP Preview to identify and correct errors.
- Utilize ADP Workforce Now Reporting tools to generate, review, and analyze payroll and employee data.
- Demonstrate strong Microsoft Excel skills, including the use of pivot tables and VLOOKUPs, to validate data and support payroll reporting.
- Provide excellent customer service to both active and terminated employees by responding to payroll inquiries and resolving issues in a timely and professional manner.
- Collaborate effectively with colleagues in the payroll department and other internal teams to ensure smooth payroll operations.
- Maintain confidentiality of sensitive payroll and employee information at all times.
- Contribute to continuous improvement of payroll processes and procedures to enhance accuracy and efficiency.
- At least 5 years of experience utilizing ADP Workforce Now for payroll processing.
- Hands-on experience with ADP Onboarding and ADP Employee Self-Service.
- Experience processing multi-state payroll.
- Proficiency with Draw vs. Commission payroll processing for commission-based or sales-driven organizations.
- Understanding of wage garnishments and withholding orders.
- Ability to ensure compliance with federal and state tax laws related to payroll.
- Proficiency in Microsoft Excel, including pivot tables and VLOOKUP functions.
- Strong attention to detail and accuracy in a fast-paced office environment.
- Ability to audit payroll reports using ADP Preview and identify discrepancies.
- Strong customer service skills for supporting both active and terminated employees.
- Ability to collaborate effectively as part of a team.
- Comfort working with commission-based and commission sales payroll structures.
- 3–5+ years of payroll processing experience.
- Union payroll experience is a plus.
- Experience in drawer vs. commission-based industries, especially within larger companies that have a sales force.
- Experience working with multi-state payroll environments.
- Familiarity with ADP Workforce Now Reporting tools.
- Ability to manage competing priorities and deadlines in a fast-paced corporate setting.
- Strong analytical and problem-solving skills related to payroll data and reporting.
This role is based at a corporate headquarters in Farmingdale, Long Island, NY and operates in a professional, fast-paced office environment. The position requires on-site, in-office attendance Monday through Friday from 9:00 AM to 5:00 PM, with in-office presence required daily and subject to reevaluation after approximately 90 days. The standard work week is 35 hours, with longer hours typically worked on Monday, Tuesday, and Wednesday, and an early departure around 2:00 PM on Fridays; many team members work slightly more than 35 hours, averaging about 37–38 hours per week. The position is classified as full-time, hourly, and non-exempt. The organization offers excellent benefits, including health insurance, a 401(k) plan, and paid time off. The payroll team relies heavily on ADP Workforce Now and Microsoft Excel, and the environment emphasizes accuracy, collaboration, and responsive support to employees.
