Key Responsibilities

Invoice Management

• Review and process 300+ Accounts Payable invoices per month.
• Accurately code invoices in accordance with internal chart of accounts and policies.

Payment Processing

• Prepare payments via checks, ACH, and wire transfers using Acumatica ERP.
• Schedule and coordinate regular check runs.

Vendor Management

• Maintain and update vendor records.
• Handle vendor inquiries and facilitate new vendor onboarding.
• Ensure accurate 1099 reporting and compliance.

Reconciliation & Reporting

• Prepare month-end journal entries and accruals (e.g., utilities, subleases, security, trash).
• Generate AP aging reports and ad hoc schedules or reporting as needed.

Compliance & Controls

• Process security deposit refunds per company protocols.
• Support annual audits by preparing work papers, gathering documentation, and fulfilling audit requests.
• Verify proper approvals of invoices and match purchase orders
• Maintain a pending/expected invoice tracking system

Expense Management

• Review and verify monthly employee expense reports through Concur, ensuring correct coding.

Payment & Receivables Systems

• Assist with A/R invoice applications and check deposits.
• Process payment applications within Acumatica ERP.

Collaboration

• Coordinate with internal teams to ensure timely vendor payments and communicate cash needs.

Qualifications

• Proven experience in Accounts Payable or similar accounting role.
• Solid knowledge of accounting principles and U.S. GAAP.
• Hands-on experience with ERP systems; Acumatica and RTPro is a strong plus.
• Proficiency in Microsoft Excel (VLOOKUPs, Pivot Tables required).
• Strong attention to detail and high level of accuracy.
• Excellent written and verbal communication skills.
• Ability to prioritize and multitask in a fast-paced environment.
• A proactive, team-oriented attitude and strong work ethic.
