Administrative Assistant Legislative, Political and Organizing Departments
Overview:
NYSUT seeks a self-motivated experienced full-time Administrative Assistant for the Legislative, Political and Organizing Department. The successful candidate will assist with multiple priorities while simultaneously supporting staff in an administrative capacity. The Department is responsible for implementing the organization’s legislative, political, and organizing priorities as articulated by the Board of Directors, NYSUT Officers and leadership team.
The Administrative Assistant will report to the Department’s Office Manager and will work with and on behalf of the Director of Legislation and the Political Director. Establishing contact with external entities, including but not limited to elected officials and their staff, is also anticipated.
Primary Responsibilities:
Assist in event and meeting planning, by working with the assigned staff to coordinate meeting locations, attendees, registration, meeting materials and other items required to support member involvement.
Provide general administrative support including tracking and reporting expenses; preparing expense reports; ordering supplies; calendaring appointments.
Assist in preparing materials to be distributed to the Legislature, members, and the general public. Type, prepare, proofread all documents. Draft correspondence and other materials as requested. Must have strong communication skills.
Responsible for timely and accurate governmental reporting through on line systems as related to the work in the Legislative area.
Answer general questions received via various platforms and mediums and as necessary refer matters to appropriate staff. Take the initiative to answer questions and resolve problems.
Provide support for special projects, which may include researching matters, compiling data and information.
Maintain and organize electronic filing systems.
Engage in special projects and other duties as assigned.
Qualifications:
Strong writing and proofreading skills.
Must be detail oriented with the ability to manage multiple tasks simultaneously.
Excellent communication and interpersonal skills.
Must be proficient in Microsoft Office 365 (Outlook) and have experience with Internet research.
Must be a self-starter, take initiative, and work well in a fast-paced environment.
Familiarity with Zoom and Microsoft Teams is preferred (facilitating and managing presentations and meetings in both environments, including registration and alternate rooms).
A strong knowledge of Word, PowerPoint, and Excel, including formulas, is preferred.
Familiarity with the Legislative Retrieval System, Board of Elections is preferable, but not required
Ability to work independently, as well as within a team.
High school diploma or equivalent is required.
A minimum of seven (3-5) years of progressively responsible experience in related area is preferred.
