Computer Administrative Assistant

RECAP Head Start is a federally funded program dedicated to preparing preschool children ages 3-5 from low-income families for success in school through a comprehensive family program. We are seeking a dedicated Computer Administrative Assistant to provide essential support to our Head Start center's administration, consultants, managers, and coordinators. This role involves child and family database tracking, computer and clerical assistance, minute taking, reception/phones, scheduling, and document production. Responsibilities
- Create various word processing and Excel documents as requested by the supervisor.
- Implement and manage child and family databases.
- Organize and maintain designated files, vendor purchase orders, program forms, and staff files, including training and professional development records.
- Merge data into PIR from child and family databases.
- Complete CACFP forms using child and family database data.
- Utilize child and family database for monthly in-kind reports.
- Perform general office duties such as answering phones, making copies, filing, typing letters, reports, labels, mail merge, and scanning text and graphics.
- Set up computers and other office equipment and troubleshoot problems.
- Collaborate with administrative staff on special projects or other duties as needed.
- Train staff on basic computer and software use.
- Work with RECAP IT staff to troubleshoot any computer problems.
- Backup files as required.
- Ensure contracts are up to date using the child and family database.
- Maintain and order office supplies.
- Perform data entry as necessary in database systems.
- Maintain a system of recordkeeping for all purchases and ensure timely processing.
- Produce and distribute flyers, training materials, newsletters, menus, recruitment materials, calendars, emergency evacuation plans, posters, signs, brochures, business cards, certificates, greeting cards, forms, stationery, service area plans, and other documents as needed.
- Produce final drafts of documents, minutes, and manuals/notebooks for production.
- Effectively and efficiently operate all office equipment.
- Provide excellent customer service by answering multi-line phone systems and related reception tasks in the absence of Family Advocates.
- Relay accurate and timely information to the public and staff.
Qualifications
- High school diploma or GED; an associate degree in a related field is preferred.
- Bilingual (Spanish/English) skills are highly preferred.
- Valid driver's license.
- At least two years of full-time equivalent office/administrative experience.
- Strong working knowledge of computers, the internet, Windows, and Microsoft Office software.
- Basic computer literacy in email, word processing, virtual meetings, and internet navigation.
- Accurate editing and keyboarding skills.
- Ability to work professionally both independently and as part of a team.
- Strong written and verbal communication skills.
- Strong organizational skills.
- Ability to perform assigned duties safely and efficiently.
- Able to tolerate occasional lifting of up to 40 pounds.
- Able to tolerate daily sitting while working at a computer and standing to operate various office equipment.
- Able to tolerate daily repetitive hand and wrist motions, including production/copying, keyboarding, and phone work.
- Ability to comprehend assignments, determine and prioritize workload, multi-task, problem-solve, and meet deadlines.
- Handle frequent in-person, electronic, and phone contact with staff and the public, often involving confidential information.
- Pass a physical examination, background check, and fingerprinting screen.
