Open Doors English Administrative Assistant Job Announcement
Open Doors English (ODE) is seeking a part-time administrative assistant. The administrative assistant supports the daily operations of ODE and assists the co-directors. This position encompasses a wide variety of duties that are both community-facing and behind-the-scenes. This role can flex to meet the unique talents and experience of the candidate. This position is 25 hours per week , with potential to grow to 30 hours.
ODE is an English language school for adults, serving immigrants, refugees, temporary residents, and other English language learners.
Primary Duties and Responsibilities:
- Maintain student and donor records in Airtable database, including data entry
- Process and manage tuition payments and donations using Little Green Light and Google Sheets
- Manage Airtable structure, automations, and semester transitions
- Serve as a receptionist and provide information to students, teachers, volunteers, and community members
- Assist in preparing financial summaries and budget-related documents
- Maintain open and clear communication with ODE Co-Directors and colleagues
Secondary Responsibilities
- Assist with event planning
- Create and coordinate social media, including photographing school activities and events
- Support in creation of newsletters, appeals, and other program communications
- Assist in writing grants, applying for sponsorships, and fundraising
- Assist in student recruitment and marketing efforts
- Assist in recruitment and coordination of program volunteers
- Other duties as assigned by co-directors
Skills and Qualifications:
- Experience working in an office setting
- Good attention to detail
- Experience working with databases and systems or willingness to learn
- Flexibility and willingness to adapt to shifting organizational needs and priorities
- Experience learning another language and/or living in another culture
Benefits:
This position is eligible for health insurance, dental insurance, and a 403b retirement program as well as vacation time, sick time, and paid holidays.
