Administrative Assistant

The Administrative Assistant provides program support to the Head Start Program Administration in the areas of child and family database tracking, computer and purchasing assistance, minute taking, scheduling, and document production. This role supports leadership in both Orange and Sullivan Counties and plays a vital role in ensuring smooth administrative and operational functions.
Responsibilities
Provide program support, including database implementation and troubleshooting, monthly reporting, recordkeeping, filing, office supply management, and data entry.
Assist with document production and distribution of materials such as flyers, newsletters, calendars, manuals, forms, and reports.
Support communication systems, social media updates, and dissemination of program updates.
Manage reception duties, including answering a multi-line phone system, mail collection and distribution, and providing excellent customer service.
Coordinate and track contracts, agreements, vehicle logs, maintenance, and inventory.
Maintain communication systems and assist in data presentation to track program goals.
Assist staff with technology troubleshooting and training, including database and software use.
Participate in special projects, advocacy initiatives, and represent the program at events.
Uphold Head Start employee expectations, including collaboration, confidentiality, professionalism, attendance, and a commitment to continuous development.
Qualifications
High school diploma or GED required; Associate’s degree preferred.
Bilingual (Spanish/English) skills highly preferred.
Minimum two years of full-time equivalent office/administrative experience.
Proficiency in Microsoft Office, Windows, internet navigation, and general office practices.
Strong written, verbal, and organizational skills.
Accurate editing and keyboarding skills.
Ability to work independently and collaboratively in a team environment.
Must pass a physical examination, background check, and fingerprinting screen.
Able to lift up to 40 pounds occasionally, sit for extended periods at a computer, and tolerate repetitive hand/wrist motions.
