Administrative Coordinator
Hani's is looking for a highly organized and detail-oriented Administrative & Operations Coordinator to support our team in all areas of the business. This position plays a critical role in the daily operations of the bakery, assisting with administration, purchasing, bookkeeping, events, catering, guest relations, and various operational projects. The ideal candidate is proactive, resourceful, enjoys hospitality, and thrives in a fast-paced environment.
Responsibilities- Provide administrative support to the management team.
- Manage calendars, meetings, appointments, and scheduling.
- Coordinate incoming email, phone and in-person inquiries related to catering, events, partnerships, and guests.
- Build and maintain invoices and administrative systems within Toast POS and related platforms, including Catering and xtraCHEF.
- Prepare reports, schedules, spreadsheets, forms, and operational documentation.
- Maintain and update recipe databases, menu descriptions, and food costing information.
- Assist with bookkeeping, invoicing, accounts payable, and vendor communications.
- Coordinate the purchasing of office supplies, guest disposables, packaging materials, and other operational needs.
- Assist with ordering, inventory tracking, and delivery coordination.
- Maintain guest notes, preferences, and hospitality records.
- Support marketing initiatives, email campaigns, and community outreach efforts.
- Facilitate communication across departments to ensure smooth daily operations.
- Manage multiple projects simultaneously while meeting deadlines.
- Support special projects and initiatives as assigned. What We Need From You
- Minimum of 1 year of experience in administration, operations, hospitality, bookkeeping, or office administration.
- Exceptional organizational skills and attention to detail.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficiency in Microsoft Office, Google Workspace, and general business software.
- Experience with Toast POS, xtraCHEF, bookkeeping, purchasing, or restaurant operations is preferred.
- Professional, positive, and service-oriented attitude.
- Ability to maintain confidentiality and exercise discretion.
