Accounts Payable Specialist

Job Overview:
Our client is a full-service HVAC contractor & construction company based in Islandia, NY. Their team of project managers, estimators, field supervisors and internal staff hold customer service and client relationships as a top priority. We are looking to hire an Accounts Payable Specialist to handle accounts payable, billing, vendor reconciliations and liaising with vendors and subcontractors.

• Enter Vendor/Subcontractor bills, linking POs to bills and obtaining approval from Project Management prior to entering.
• Attach invoices to bills in the accounting system.
• Communication with vendors and subcontractors.
• Reconciliation of monthly vendor statements.
• Reconciliation of monthly subcontractor statements.
• Sending, collecting and filing subcontractor waiver forms.
• Creating CPRs by project (field staff payroll reporting ONLY).
• Collection of payment forms for subcontractors on each project.
• Subcontractor and vendor compliance management.
• Entering Check information through positive pay fraud detection system.
• Completing new vendor credit applications.
• Miscellaneous insurance and bond tasks.
• Office tasks as needed.

Qualifications:

• 3+ years of Accounts Payable related experience.
• Prior construction industry experience and familiarity with construction industry practices, including AIA documentation and lien processes, is highly valuable.
• Familiarity with union benefits, wage work and/or a municipal background is preferred.
• Experience with accounting and construction software like Quickbooks and/or Jonas is a plus.
• Strong analytical skills to interpret financial data and identify trends.
• Excellent communication and interpersonal skills for interacting with various departments and stakeholders.
