Sales Support Coordinator
Walker Hotels is seeking a dynamic, highly organized Sales Support Coordinator to support the sales teams at Walker Hotel Tribeca and Walker Hotel Greenwich Village.
This role is responsible for ensuring prompt, professional handling of all inquiries received through the sales email account and sales office voicemail. The Sales Support Coordinator plays a critical role in managing communications, preparing estimates and contracts, processing deposits, maintaining CRM and PMS systems, and delivering exceptional customer service to clients.
Key Responsibilities
Email & Voicemail Management
- Monitor the [email protected]
- inbox and sales office voicemail throughout the day
- Respond promptly and professionally to all inquiries and prospects
- Vet all incoming communications and forward to the appropriate Sales Manager as needed
- Handle inquiries directly when appropriate
Sales CRM Management (Event Temple)
- Create estimates and contracts for weddings, social events, and corporate events
- Enter all relevant communications and data into Event Temple for accurate tracking
- Conduct weekly audits of Event Temple to ensure all bookings are up to date
- Create group forms
- Assist with banquet event order (BEO) and menu document creation
Event Sales Support
- Support documentation and coordination related to group and event bookings
PMS System Management
- Input rooming lists into Opera Cloud PMS for groups at both properties
- Update Stayntouch as needed for group modifications
- Ensure all guest and group information is accurate and complete
Deposit & Financial Management
- Create and maintain a monthly deposit schedule for upcoming events
- Process deposits, including receiving, recording, and posting payments
- Maintain accurate financial records in compliance with company protocols
Invoicing
- Prepare and issue final invoices
- Review invoices for accuracy and obtain necessary approvals
Tours & Site Visits
- Schedule, confirm, and conduct property tours for prospective clients
- Deliver polished, knowledgeable, and welcoming site visits
- Customize tours based on client needs and event type
- Prepare materials and ensure event spaces are tour-ready
- Communicate client feedback and next steps to the Sales team
Customer Service & Administrative Support
- Use technology tools to craft professional responses and streamline communication
- Maintain proficiency in Microsoft Office Suite, particularly Word and Excel
- Demonstrate exceptional customer service in all interactions
- Coordinate and prepare welcome amenity notes as needed
Qualifications
- High proficiency in Microsoft Office Suite (Word and Excel required)
- Ability to quickly learn CRM systems (Event Temple experience a plus)
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
- Ability to multitask, prioritize, and perform effectively in a fast-paced environment
- Demonstrated commitment to exceptional customer service
- Previous experience in sales coordination or a related hospitality role preferred
