Scheduler Administrative Clerk
OVERVIEW:
Schedule all appointments for iCircle members and referred potential members. Provide clerical support to the iCircle Care Management staff and enrollment team, including documentation, data entry, mailing, faxing, tracking and securing file documentation and customer service.
RESPONSIBILITIES:
- Completes scheduling of enrollment visits, ensures RN calendars are up to date at all time, documents all contacts, schedules appointments in a responsible manner looking at location and grouping of appointment.
- Complete data entry into member records including the UAS, contacts, appointment dates, all documentation associated with enrollment and filing in prospect/member files.
- Responsible for completion of faxing of documents including authorizations, requests for MD orders, reconciliation of fax response sheets, tracking receipt of MD orders, scanning and uploading to member record.
- Mail forms and notices to members and providers, create documents, scan and upload documents to member records as assigned.
- Maintain the highest level of confidentiality, following all HIPAA policy and procedures.
- Adheres to iCircle customer service standards when calling and scheduling appointments with members/potential members.
- Complete typing, filing, and correspondence as needed/requested.
- Serves as a liaison between iCircle Services and outside parties as needed.
- Maintains iCircle Services policies and procedures.
- Print, scan, process, mail, email, fax, file, etc. all relevant paperwork associated with job tasks assigned such as but not limited to: notices, contracts, letters, member communications, provider communications, etc. including coverage of tasks outside of assigned department.
- Performs all other duties relevant to the position as requested.
- Adhere to agency policy and procedures.
ESSENTIAL ACADEMIC AND EXPERIENCE REQUIREMENTS:
- Must be at least 18 years of age.
- Associates Degree preferred, HS/GED diploma.
- Two years of clerical and administrative experience.
- Proficient in the use of all Microsoft applications (excel, work, power point, Microsoft outlook and access).
- Able to type at least 35 wpm.
- Reliable transportation (NYS Drivers' Licensed required).
- Ability to work independently under minimal supervision.
- Ability to communicate effectively, both orally and in writing.
- Ability to be efficient and productive in a fast-paced environment.
- Detailed orientated and have the ability to multi-task.
- Ability to sit continuously.
- Ability to reach above shoulder level.
- Ability to turn/twist upper body.
- Able to use hand repetitive action for fine manipulating, keyboarding and typing.
- Maintain all required certifications/training by State regulations and iCircle policy.
All experience and education requirements, except when required by federal, state, or local laws or requirements, may be waived at the discretion of management with the approval of the Program Vice President in collaboration with Human Resources.

- Attend mandatory Education and Training modules as scheduled, obtains, and maintains required certifications.
- Act as a professional representative of iCircle in regards to appearance, behavior, temperament, communication, language, and dress.
- Perform all other duties relevant to the position as assigned by supervisor.
The listed salary range represents the organization's good faith and reasonable estimate of the range of possible compensation at the time of posting. The offered salary will be determined by: Applicant qualifications and experience, education, position specific licensing/training and departmental budgets.
