Position Overview: We are seeking a diligent and detail-oriented Wealth Management Administrative Assistant to join our dedicated wealth advisory firm. The successful candidate will play a crucial role in ensuring the smooth and efficient operation of our wealth management services by providing comprehensive administrative support. The right candidate for this role will embody professionalism, excellent communication skills, and a keen eye for accuracy.
Key Responsibilities:
1. Client Interaction:
- Respond to client inquiries promptly and professionally, both in person and via phone/email.
- Act as a liaison between clients and advisors, scheduling meetings and appointments as needed.
2. Administrative Support:
- Maintain accurate and organized client files, documents, and records.
- Assist in the preparation and distribution of reports, presentations, and other client materials.
- Handle administrative tasks such as document scanning, data entry, and filing.
- Provide support to staff on Wealth Management projects.
- Support the Tax Department with administrative duties as needed.
3. Communication and Writing:
- Demonstrate exceptional written communication skills in creating clear and concise emails, letters, and other written correspondence.
- Proofread documents to ensure accuracy and professionalism.
4. Technology Proficiency:
- Utilize Microsoft Office Suite, Salesforce, and many other software systems to input, update, and retrieve client information as needed on tasks.
- Maintain the integrity and security of electronic data.
- Be able to identify, troubleshoot, and resolve system issues as they come up alongside our IT service provider.
5. Problem-Solving and Analysis:
- Assist advisors in gathering necessary information to identify key financial and investment issues.
- Collaborate with the team to address client needs and concerns effectively.
6. Interpersonal Skills:
- Build and maintain positive relationships with clients, demonstrating empathy, professionalism, and a client-centric attitude.
- Collaborate closely with advisors and colleagues to ensure seamless client service delivery.
Qualifications:
- High school diploma required; Associate's Degree preferred, preferably in business or clerical studies.
- Previous experience in administrative roles, particularly within a financial or wealth management environment, is advantageous.
- Strong attention to detail and accuracy in financial calculations and documentation.
- Proficiency in Microsoft Office Suite and familiarity with Client Management Information Systems.
- Excellent verbal and written communication skills, with the ability to actively listen, ask pertinent questions, and express oneself clearly.
- Strong interpersonal skills to effectively interact with clients and colleagues.
- Positive, empathetic, and professional demeanor.
- Analytical mindset with the ability to identify and solve problems effectively.
Starting Pay Range:
$16-$20/hour
