Front Office Lead
Role: Part-Time (25-30 hours/week)
Location: YSC Acupuncture | Midwood, Brooklyn
Hours: Mondays/Tuesdays/Thursdays 12pm-7pm, Saturdays 11am–5pm (subject to change)
Focus: Patient Experience, Insurance Work, and Clinical Flow

We specialize in root-cause healing and are committed to ensuring every patient feels seen, heard, and supported throughout their wellness journey.
The Ideal Candidate
As our Front Office Lead, you are the heartbeat of the clinic during our peak mid-week and weekend shifts. We are seeking a seasoned professional with 3–5 years of experience who thrives in a collaborative environment. You will work alongside our virtual billing team to ensure a seamless experience for every patient. You are a high-level communicator who balances a welcoming presence with the sharp administrative precision required to maintain clinic continuity.
Professional Experience & Qualifications
- Front Office Leadership: 3–5 years of experience in a clinical setting, boutique wellness, or luxury hospitality.
- Insurance Billing Literacy: Ability to communicate with health insurance companies (Aetna, Cigna, UnitedHealthcare), managing claims and EOBs. You should be comfortable acting as the "on-site expert" to support our virtual billing partner.
- Team Collaboration: Proven ability to manage "handoffs"—ensuring the virtual billers are updated on patient status, billing discrepancies, or schedule changes.
- Operational Autonomy: A self-starter who can manage inventory and clinical space with minimal oversight.
Core Responsibilities
1. Patient Journey & Continuity
- Orchestrate a consistent flow, ensuring every patient experience aligns with our clinic standards.
- Drive patient retention and verify that all payments are collected on-site.
- Provide high-touch, "instant-response" communication to inquiries via email, text message, voicemail, and ZocDoc.
2. Insurance Coordination & Audit
- Execute real-time insurance verification for on-site patients to ensure financial transparency.
- Act as the primary on-site point of contact for our virtual billing team. You will audit daily entries in AcuSimple to ensure the data transmitted for billing is 100% accurate.
- Resolve on-site patient billing questions by interpreting EOBs and coordinating with the virtual biller.
3. Clinical Environment & Inventory
- Full Ownership: Manage procurement for clinical supplies and our Herbal Medicine orders, ensuring each shift is also well-stocked.
- Room Management: Maintain a high-standard "Reset" of treatment rooms (linens, needles, heat lamps) between sessions.
- Calendar Management: Audit the ZocDoc and AcuSimple calendars to ensure maximum efficiency and proper patient placement.
Requirements & Expectations
- Schedule: Consistent availability on Mondays (12pm-7pm), Tuesdays (12pm-7pm), Thursdays (12pm-7pm), and Saturdays (11am – 5pm) — subject to change.
- Professional Presence: A polished, professional, and modest appearance (no visible tattoos) that reflects the YSC brand.
- Communication Mindset: You are the bridge between the on-site clinical flow and our off-site support. Clear, proactive communication is essential.
