Property Manager Assistant

About the Role

We are seeking a proactive, tech-savvy, and resourceful Executive Virtual Assistant to support a seasoned real estate investor managing a portfolio of 45+ long-term rentals and 6 short-term rentals. The ideal candidate will serve as a true right-hand partner, streamlining operations, managing property-related tasks, and helping with both professional and personal needs.

Key Responsibilities

Property & Tenant Management

• Coordinate with short-term rental guests on bookings, parking, and access issues (e.g., RemoteLock troubleshooting).

• Assist with dynamic pricing strategies using PriceLabs.

• Manage listings on platforms like Airbnb, Facebook Marketplace, and Instagram.

• Draft and send lease renewals for long-term tenants.

• Maintain and update listings via OwnerRez and related systems.

Administrative Support

• Retrieve and upload utility bills and receipts to Keeper App for bookkeeping.

• Digitize and organize documents: scan, upload, and maintain digital records.

• Prepare and forward documentation to the bookkeeping team.

Marketing & Web Presence

• Review and optimize website content for SEO performance.

• Identify opportunities to improve search engine ranking and lead generation.

• Assist in creating and distributing advertising content across social media platforms.

Personal Assistance

• Coordinate travel arrangements and help plan personal trips.

• Maintain a high level of responsiveness for real-time requests or follow-ups.

Requirements

• Experience in property management, especially short-term rentals via Airbnb.

• Knowledge of OwnerRez, PriceLabs, Keeper App, RemoteLock, Buildium, and Notion.

• Strong command of Google Sheets/Excel, general admin software, and digital tools.

• Excellent English communication skills, both written and verbal.

• Tech-savvy with experience posting on Facebook, Instagram, and other ad platforms.

• Organized, autonomous, and able to take initiative.

• Strong interpersonal skills with a service-first mindset.

Preferred Qualifications

• Background in business administration, hospitality, or property management.

• Previous experience supporting real estate investors or entrepreneurs.

• Familiarity with both short-term and long-term rental workflows.

• Willingness to grow with the business and commit long-term.
