We are looking for an organized and meticulous Office Manager to join our team in Ballston Spa, New York. This Contract-to-Permanent position offers the opportunity to support daily operations and ensure the smooth functioning of administrative tasks. Responsibilities:• Coordinate and order office supplies to ensure inventory is well-stocked and organized.
• Oversee mail operations, including picking up, distributing, and dropping off outgoing items.
• Maintain a clean and organized office environment by managing supplies and tidying common areas.
• Prepare and distribute weekly foreman packets and manage incoming field documentation.
• Assist with onboarding new team members by setting up office spaces, preparing packets, and providing necessary materials.
• Handle administrative tasks such as updating training walls, filing applications, and printing charts.
• Manage vendor communications, including holiday cards and other correspondence.
• Schedule and oversee vehicle maintenance requests and pool car tab updates.
• Conduct receptionist duties, including greeting visitors and answering calls.
• Organize and maintain accurate records for revenue and labor charts.• Proven experience in administrative office support or management.
• Proficiency in ordering and maintaining office supplies.
• Familiarity with accounts payable processes and basic bookkeeping.
• Strong organizational skills with the ability to prioritize tasks effectively.
• Excellent communication skills for interacting with vendors, clients, and team members.
• Ability to manage multiple responsibilities with attention to detail.
• Experience with receptionist duties, including handling calls and visitors.
• Comfortable using office software and tools for documentation and record-keeping.
