: Accounts Payable Specialist

Location : Bronx, New York

Reports to: Director of Finance

Pay Range: $32.96 - $32.96 per hour (est. $60,000 - $60,000 per year)

FLSA Classification : Non-exempt

Status: Full-time (35 hours per week)


Role Summary
: The Accounts Payable Specialist is responsible for managing payments and controlling expenses by receiving, processing, verifying, and reconciling invoices, as well as collecting tax information from vendors requiring 1099 forms. This role requires proficiency in computer applications, mathematics, analytical thinking, communication, and organizational skills.


Primary Job Responsibilities/Duties
:

The Accounts Payable Specialist is responsible for, but not limited to:

  • Match invoices to corresponding purchase orders and packing slips.
  • Review current invoices against vendors’ payment histories.
  • Verify that all invoices from multiple sites have appropriate documentation and approval prior to payment.
  • Enter invoice information into QuickBooks, ensuring accurate coding.
  • Charge expenses to appropriate accounts and programs (sites) by analyzing invoice and expense reports and recording entries.
  • Organize and file invoices by site and vendor, scanning supporting documents into the network system.
  • Mail payments to vendors promptly.
  • Prioritize utility payments and process scheduled monthly payments via phone or online.
  • Record all payment information in QuickBooks after setting up electronic payments.
  • Process employee reimbursements by receiving and verifying expense reports.
  • Maintain records in a state of constant audit readiness.
  • Protect the organization’s value by ensuring confidentiality of all information.
  • Resolve accounts payable issues in a timely and efficient manner.
  • Perform other duties as assigned.

Physical Requirements :

  • Ability to walk, stand, kneel, crouch, and bend over.
  • Ability to lift, reach, and handle objects weighing up to 25 pounds.
  • Ability to sit at a desk and work on a computer for prolonged periods.
  • Ability to travel to different locations within New York City, as needed


Work Environment / Schedule Requirements
:

  • While standard business hours are Monday through Friday, 9:00 AM to 5:00 PM, employees may be required to work on or during evenings, weekends, and holidays.


Qualifications
:

  • Bachelor’s Degree in Accounting, Finance, Business, or a related field with at least one (1) year of Accounts Payable (A/P) experience; OR
  • Associate’s Degree in Accounting, Finance, Business, or a related field with at least three (3) years of Accounts Payable (A/P) experience.
  • Proficiency in QuickBooks and its Accounts Payable module.
  • Ability to operate relevant equipment, tools, and materials used in the facility.
  • Commitment to the mission of the Neighborhood Association for Inter-Cultural Affairs, Inc. (NAICA).
  • Proven ability to collaborate effectively with diverse groups.
  • Demonstrated ability to manage multiple tasks efficiently under pressure.
  • Strong organizational skills with a detail-oriented and efficient approach.
  • Must be able to read, speak, write, and understand English for administrative purposes.
  • Must pass drug screening to be appointed.
  • This position may be subject to a series of investigations before and after appointment.
  • Negative TB test results (NCS required).
  • CPR/First Aid certification (preferred).
  • Occupational Safety and Health Administration (OSHA) Certification (preferred).
