Position Overview
We are seeking a proactive, detail-oriented Part-Time Administrative Assistant to provide essential operations and project support. This role is ideal for someone who enjoys working in a fast-paced, creative, small-business environment, balancing multiple priorities, and collaborating with a mission-driven team.
This position is in-person 2-3 days per week at our DUMBO Brooklyn office, with the opportunity to complete some tasks remotely as needed. This role requires experience with WordPress and regular updates to website content (e.g., pages, posts, events, and basic formatting).
Key Responsibilities
Operations & Administrative Support
· Provide day-to-day administrative assistance, including scheduling, calendar coordination, and correspondence.
· Manage in-person office operations: supplies, mail, vendor relations, and maintaining an organized workspace.
· Maintain organized digital and physical filing systems for project documents, contracts, and reports.
· Support company communications by preparing meeting notes, agendas, updates, and internal summaries.
· Assist with general office organization, task tracking, and operational efficiency.
· Update and maintain website content in WordPress (upload copy and images, format pages/posts, ensure links work, and coordinate routine updates with the team).
Project & Team Coordination
· Support multiple projects by managing deliverables, timelines, and follow-up tasks.
· Collaborate with team members to ensure smooth coordination across initiatives and consistent communication.
· Manage shared drives, databases, and contact lists to keep project information accurate and accessible.
· Assist with client and partner communications, including drafting professional emails and preparing materials.
· Track project progress and support documentation, reports, and basic data entry as needed.
Communication & Initiative
· Serve as a point of contact for internal and external communications related to ongoing initiatives.
· Contribute to internal updates, brief project summaries, and meeting recaps.
· Take initiative to identify areas for improved organization, workflow, and collaboration.
· Work independently to complete tasks and achieve outcomes while also functioning effectively as part of a small team.
Qualifications
· Minimum of an associate degree required; bachelor’s degree preferred in business administration, communications, marketing, or a related field.
· Prior experience in administrative or project support preferred.
· Strong organizational, written, and verbal communication skills.
· Ability to self-direct, multitask, and work independently while collaborating effectively with others.
· High attention to detail, strong problem-solving abilities, and initiative.
· Proficiency with Microsoft Office and Google Workspace; familiarity with shared drives, spreadsheets, and project management tools is a plus.
· Comfortable managing email and client communications professionally.
· Experience with WordPress (or a similar CMS) required; basic editing, media uploads, and page/post formatting are a plus.
Position Details
· Part-time: 15-20 hours per week (2-3 days per week in person at the DUMBO Brooklyn office).
· Some limited remote tasks may be completed outside of office days as needed.
· Compensation: $22-$25/hour, commensurate with experience.
· Anticipated start date: Applications reviewed on a rolling basis until the position is filled.
