Marketing Operations Specialist
- Serve as the first point of contact for attorney marketing inquiries submitted through the firm’s ticketing system and email
- Triage, clarify, and route requests appropriately based on scope, urgency, and practice group
- Communicate clearly with attorneys regarding timelines, next steps, and deliverables
- Deliver completed marketing projects to attorneys and ensure follow-up as needed
- Enter, assign, and track marketing tasks in Asana, ensuring accuracy, completeness, and proper prioritization
- Maintain visibility into team workloads and project status to support efficient scheduling and execution
- Ensure work products are appropriately tagged and categorized by practice group, attorney, and initiative
- Monitor deadlines and follow up proactively to keep projects moving forward
- Help optimize and maintain marketing workflows, templates, and intake processes
- Support attorney onboarding and offboarding by completing required marketing system updates and requests
- Maintain organized digital files and documentation using SharePoint and other firm systems
- Identify opportunities to improve efficiency, consistency, and communication across marketing operations
- Work closely with the Marketing Manager and Director of Marketing to support team effectiveness
- Enable the broader marketing team to focus on strategy, creative execution, and quality control by managing operational details
- Contribute to a positive, responsive, and service-oriented culture within the department
- Maintain a regular in-office presence to support team collaboration, attend scheduled meetings, and perform tasks that require on-site access, while effectively managing responsibilities in a hybrid work environment .
- Other duties as assigned
- 3+ years of experience in a marketing operations, project coordination, or professional services support role
- Bachelor’s degree; preferably in Marketing, Communications, Journalism, or a related field.
- Demonstrated strength in workflow management, scheduling, and process execution
- Proficiency with Asana or similar project management tools
- Strong working knowledge of Microsoft Office (Word, Excel, PowerPoint) and SharePoint
- Excellent organizational skills with exceptional attention to detail
- Strong written and verbal communication skills, with a professional and client-service mindset
- Ability to manage multiple requests simultaneously in a fast-paced environment
- Comfortable working with attorneys and senior stakeholders
- Regularly required to clearly communicate and exchange information in English
- Strong organization and time management skills
- Regularly required to observe and assess data and documents, in printed form and on computer screens
- May be requested to work beyond normal work hours and weekends for special projects
- Works well in a team environment
- Ability to work independently within general guidelines and minimal supervision
- Ability to recognize the need for confidentiality of information and to maintain such confidences
- Ability to respond to internal or external inquiries, including those of a sensitive, confidential, or adversarial nature
